Key Responsibilities:
Travel Planning & Coordination
- Manage end-to-end travel arrangements including flights, hotels, cabs, visas, insurance, and documentation.
- Ensure bookings align with company policies, budgets, and approval workflows.
- Maintain a centralized travel calendar for leadership and project teams.
- Provide 24/7 support in urgent travel changes, delays, cancellations, or re-routing.
Vendor & Cost Management
- Identify, negotiate, and manage travel vendors: airlines, hotels, cab partners, travel agencies.
- Negotiate corporate rates, annual contracts, and service-level agreements (SLAs).
- Continuously review travel spends to ensure cost optimization without compromising safety or comfort.
- Process vendor bills, verify invoices, and coordinate with Finance for timely payments.
Compliance & Policy Governance
- Ensure all travel activities adhere to company travel policy and approval matrix.
- Develop or update travel policies in coordination with HR & Finance.
- Ensure documentation compliance for international travel (visa, passport validity, COVID rules, etc.).
- Maintain clear travel records for audits, MIS, and reimbursement checks.
Operations & Employee Support
- Act as the single point of contact for employee travel queries and requests.
- Ensure smooth coordination for leadership travel, last-minute bookings, and premium services.
- Handle escalations and resolve service issues with vendors.
- Maintain travel profiles, preferences, and frequent-flier details of employees.
Reporting & Analytics
- Prepare weekly/monthly MIS reports on travel expenses, vendor performance, and savings achieved.
- Track KPIs such as booking turnaround time, cost per trip, and vendor reliability.
- Present travel insights to Management for budgeting and strategy.
Skills & Competencies
- Strong knowledge of domestic & international travel processes.
- Excellent negotiation & vendor management skills.
- High attention to detail with multitasking ability.
- Proficiency with travel portals (MakeMyTrip, Yatra, Amex GBT, etc.).
- Strong communication & coordination skills.
- Ability to handle pressure, urgent changes, and tight timelines.
- Basic understanding of finance (billing, budgets, reconciliation).
Experience & Qualifications
- Graduate with 4–8 years of experience in corporate travel management.
- Prior experience in handling senior leadership travel preferred.
- Knowledge of visa procedures & international travel regulations.
Experience with hospitality or travel agency background is an added advantage.
Job Type: Full-time
Pay: ₹45,000.00 - ₹55,000.00 per month
