We are seeking a highly organized and proactive UAE National with family for our client which is a prestigious conglomerate as an Administrator for Facilities & Real Estate. The successful candidate will provide comprehensive administrative support to ensure the efficient operation of our facilities and real estate functions. This role requires a detail-oriented individual with excellent communication skills and a strong ability to manage multiple tasks in a fast-paced environment.
- Provide administrative support to the Facilities and Real Estate departments, including scheduling meetings, managing calendars, and preparing presentations and reports.
- Assist in the coordination of maintenance activities, repairs, and facility upgrades, liaising with internal teams and external vendors.
- Manage and maintain accurate records for all facilities and real estate assets, contracts, leases, and service agreements.
- Process invoices, expense reports, and purchase orders related to facilities and real estate operations, ensuring timely and accurate payments.
- Serve as a primary point of contact for internal staff and external service providers regarding facility-related inquiries and requests.
- Oversee office supplies inventory, procurement, and distribution to ensure smooth daily operations.
- Support the onboarding and offboarding processes by coordinating workspace setup and access for employees.
- Assist in the preparation and distribution of communications, policies, and procedures related to facilities and real estate.
- Ensure compliance with company policies, health and safety regulations, and local real estate guidelines.
- Organize and maintain physical and electronic filing systems for critical documents and records.
- Coordinate with security and IT teams for facility access and equipment setup.
- Assist in budget tracking and financial reporting for facilities and real estate expenditures.
- Participate in special projects and initiatives as assigned by management.
