Key Responsibilities


Key responsibilities and day to day responsibilities of this position:

  • Working with people in a manner which shows sensitivity, tact, and professionalism
  • Providing customer service when clients, family or community partners come in
  • Attending meetings and take minutes
  • Performing data entry
  • Coordinate meetings, trainings and JJS events
  • Providing administrative support
  • Working with families and youth
  • Purchasing
  • General office cleaning
  • Maintaining schedules
  • Answering multi-line phones
  • Prepare and process documents
  • Maintain files and record keeping systems
  • Communicate information and ideas clearly, and concisely, in writing; read and understand information presented
    in writing.
  • Speak clearly, concisely and effectively; listen to, and understand, information and ideas as presented verbally.

Qualifications


Minimum or "day-one" qualifications:

  • Ability to type
  • Transcribe records
  • Understanding of Microsoft and or Google Office Suites

Preferred or trainable/on-the-job qualifications:

  • The ability to stay on task
  • Works independently and is able to use sound judgment
  • Organized and has the ability to multi-task
  • Professional, responsible and friendly
  • Has general knowledge of office equipment

About the Role

Incumbents in this job exercise independent judgment in office specialties and perform complex production tasks requiring specialized office skills plus a comprehensive knowledge of pertinent rules, regulations, policies, and procedures. Incumbent will serve as the focal point for advanced agency-specific assignment(s). Incumbents process a variety of agency documents by reviewing for accuracy and completeness, updating information, evaluating against policy, comparing elements for consistency or logical relationship, and otherwise taking action where such procedures may require independent judgment. Applies agency regulations, policies and procedures. Originates correspondence, documentation, and other written communication; provides the public and others with information and assistance in completing forms and applications; locates and assembles records and information which may be complex or difficult to identify, and which may require substantial research, judgment, and subject matter knowledge. Prepares and generates recurring reports involving automated processes and thorough subject matter understanding. Other tasks may include, but are not limited to: performing basic accounting functions such as receiving and recording cash payments, basic bookkeeping, processing payroll, accounts payable/receivable, etc.; maintaining calendars, schedules and coordinating appointments, meetings, training, facilities and other activities; assists in the training of vendors and new employees; ensuring an adequate supply of materials by ordering, receiving, inspecting and storing equipment, merchandise, commodities, materials, and/or supplies.
