Vendor Relations Officer (Dubai Office)
We are seeking a dedicated and detail-oriented Vendor Relations Officer. The ideal candidate is a proactive professional with strong communication skills and a meticulous eye for detail. This role is crucial for managing financial operations and ensuring seamless coordination between our UAE support office and our US headquarters in Los Angeles.
Key Responsibilities:
- Manage and update billing notes
- Record new services and additional services provided
- Track holiday schedule, changes and adjustments
- Document missed or late shifts for billing purposes
- Process and review invoices accurately and on time
- Monitor subcontractor guard schedules and coverage updates
- Track valid guard cards and licensing requirements
- Maintain records of expiration dates and renewals
- Coordinate with scheduling team on sub check-in/check-out sheets
- Review Tacktik reports for each sub site
- Prepare and send work orders for:
New sites
Special events
Extra coverage requests
Ensure subcontractors receive accurate site instructions and schedules
- Maintain updated subcontractor documentation and compliance files
- Keep records of issued uniforms to subcontractors
- Update and maintain records for new sub sites
- Provide updated site information to Account Managers
- Communicate with vendors within California and out-of-state
- Coordinate procurement requests
- Coordinate with Account Managers regarding reports and operational updates
- Assist in resolving client complaints and service issues
- Ensure subcontractor performance meets company standards and client
expectations
Qualifications & Skills
- Bachelor’s degree or diploma in Accounting/Finance (preferred).
- 3–6 years of proven experience in accounts, bookkeeping, vendor or supplier relations.
- Strong English communication skills (both written & spoken).
- Excellent proficiency in MS Excel and familiarity with accounting software (Quickbooks).
- Strong organizational skills with attention to detail and accuracy.
-Ability to work independently while meeting deadlines.
- Must be able to work night shift (UAE time zone) to align with Los Angeles operations.

Education: Bachelor’s degree or higher diploma
Please note is an on-site role (not remote) with night shift working hours. Candidates must be in Dubai, United Arab Emirates and immediate joiners are highly preferred.
