Vessel Operations Coordinator

Position Overview

We’re seeking a highly organized, proactive Vessel Operations Coordinator to work closely with the founder and support day-to-day operations across vessel management, charter sales, customer service, project coordination, waterfront partnerships, and administration.

This role is ideal for someone who thrives in a dynamic environment, enjoys wearing multiple hats, and can balance operational details with big-picture thinking. Maritime experience is not required; interest in boats, events, hospitality, tourism, construction, or startups is a plus.

Work Environment

We partner with many organizations within the Bay Area nightlife and music scene. This position supports private events, hospitality operations, and customer-facing activities in a diverse and inclusive social environment, which may include nightlife settings, alcohol service, unconventional entertainment, and adult-oriented social events. The successful candidate should be comfortable interacting professionally with guests from a wide variety of backgrounds, communities, and lifestyles, and must exercise sound judgment, discretion, and respect for guest privacy and confidentiality at all times.

Primary Responsibilities

Charter Sales & Client Management

  • Manage charter inquiries and client communications
  • Maintain and organize TripleSeat bookings
  • Track proposals, contracts, and follow-ups
  • Coordinate event logistics
  • Oversee vessel cleaning schedules and presentation standards

Administrative Support

  • Maintain project files, records, and documentation
  • Assist with Coast Guard compliance paperwork
  • Coordinate calendars, meetings, and schedules
  • Track vendor quotes, invoices, permits, and applications

Vessel Operations

  • Support vessel cleaning, presentation, and dockside operations
  • Coordinate maintenance projects, contractors, and service providers Manage onboard inventory and supplies
  • Assist with event setup and breakdown

Business Development

  • Support partnership development and community outreach
  • Research grant opportunities
  • Assist with marketing initiatives and waterfront activation projects
  • Identify and support new business opportunities

Desired Skills

  • Excellent organizational and communication skills
  • Ability to work independently and manage competing priorities
  • Strong customer service background
  • Event planning and/or hospitality experience preferred
  • Proficiency with Google Workspace
  • CRM experience preferred
  • Basic bookkeeping and social media skills are a plus

Required Qualifications

The following are essential functions and requirements of this position. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Must be at least 21 years of age, due to alcohol service and the nature of private events Reliable transportation and the ability to regularly commute to waterfront locations in both San Francisco and Oakland, and to travel between locations as operational needs require Ability to lift and move equipment and supplies weighing up to 50 pounds, with or without reasonable accommodation
  • Ability to stand and walk for extended periods and to work aboard a moving vessel, including on uneven, wet, or unstable surfaces, with or without reasonable accommodation Ability to work aboard vessels and on waterfront docks, including climbing ladders and gangways, and to bend, kneel, reach, and carry during event setup and breakdown, with or without reasonable accommodation
  • Ability to work outdoors in varying weather conditions
  • Availability to work occasional evenings, nights, weekends, and overnight charter shifts as required by events and vessel operations
  • Responsible Beverage Service (RBS) certification, or ability to obtain certification within 60 days of hire, as required under California ABC rules for alcohol service
  • Sound judgment, discretion, emotional maturity, and the ability to remain professional in nightlife and adult-oriented hospitality settings, including environments involving alcohol service and unconventional entertainment

Working Conditions

This position works aboard vessels, on docks, and at live events. Typical conditions include:

  • Exposure to loud noise and amplified music for extended periods during events Occasional exposure to engine exhaust, fuel odors, and cleaning products common to vessel operations
  • Vessel motion, including operating in rough water and inclement weather conditions Prolonged sun, wind, cold, fog, and rain exposure typical of San Francisco Bay waterfront work
  • Wet, slippery, uneven, and moving surfaces, including decks, docks, gangways, and ladders
  • Work in confined or below-deck spaces with limited lighting during cleaning, storage, and maintenance tasks
  • Nighttime deck and dock work in low-light conditions
  • Crowded, fast-paced guest environments during events
  • Work on and near open water; comfort around water is essential, and required personal protective equipment (including personal flotation devices) must be worn when conditions or policy require

Compensation & Schedule

The expected pay range for this position is $25–$50 per hour, depending on experience, qualifications, and skills. Candidates with 1–2 years of relevant experience can expect rates at the lower end of the range; those with 5+ years of substantial maritime or operations experience may qualify for the upper end.

Schedule: Approximately 20–30 hours per week initially, with variable scheduling driven by events, including occasional overnight charters. Potential for full-time employment and increased responsibilities as operations expand. This is a non-exempt position; overtime is paid in accordance with California law.
