VITA Program Coordinator

United Way of Tarrant County provides free income tax preparation at our Volunteer Income Tax Assistance (VITA) centers. Families and individuals with qualifying household incomes can visit one of multiple locations across the county to get a better understanding of what they owe – or to get the largest return possible. Our volunteers can also help clients enroll in financial education, coaching and workforce skills training. This successful program has helped Tarrant County residents improve financial stability and resiliency since 2010.


If you are looking to join our VITA team as a Program Coordinator, United Way of Tarrant County (UWTC) is the place for you. The VITA Program Coordinator is responsible for supporting the implementation and successful execution of the VITA program across Tarrant County. Primary responsibilities include recruitment and onboarding of seasonal staff and maintaining proper reporting and compliance with IRS requirements. The duration of this position will be temporary for the 2026 tax season from approximately early November 2025 through mid-May 2026.

Primary Responsibilities:

  • In coordination with Chief Human Resources Officer, facilitate the screening, interviewing and onboarding of multiple seasonal employees as site coordinators and intake specialists.
  • Manage operations at VITA sites with guidance from Program Manager and in partnership with fellow VITA Program Coordinator, site coordinators and host agencies.
  • Ensure VITA site compliance with IRS regulations.
  • Coordinate data collection and assist Program Manager with reports on VITA site performance.
  • Under guidance from VITA Program Manager, will be responsible for front level supervision of VITA seasonal site staff.
  • Work with VITA team and UWTC Marketing & Communications staff to successfully execute a marketing plan for the VITA program.
  • Ensure that processes are in place at each site to treat each client with respect, while maintaining privacy and confidentiality.
  • Coordinate opening/closing times and procedures with host sites.
  • Coordinate with VITA staff to resolve client tax issues.
  • Schedule and conduct alternating site visits during tax season.
  • Assist in updating standard operating procedure manuals at all tax preparation sites to ensure that sites run smoothly, including but not limited to the areas of greeting and screening clients, processing intake forms, processing tax forms, troubleshooting, quality control, tracking client information and data, and successfully transmitting returns to the IRS.
  • Ensure that all quality site requirements are followed always to protect UWTC, our VITA partners, and all volunteers from liability.
  • Secure and maintain VITA tax preparation certification at advanced level.
  • Maintain inventory and tracking of all VITA-related equipment (computers, printers, etc.).


Special Assignments:

  • Provide weekly and quarterly reports to VITA Program Manager.
  • Make periodic presentations at workshops, public forums, board meetings, and media events.


Travel Requirement:

To fulfill the responsibilities of the position, travel to various VITA sites and agencies throughout the County is required. Individual must have valid driver’s license and availability of a motor vehicle.


Physical Requirement:

Lifting/carrying up to 20 lbs.


Qualifications:

  • Bachelor’s degree in a related field or equivalent experience
  • Volunteer or general management experience
  • Dedication to UWTC’s and VITA’s missions
  • Tax preparation and/or VITA experience, preferred
  • Microsoft Office proficient
  • Fluency in English required; Fluency in Spanish preferred
  • Ability to prioritize and coordinate multiple tasks and assignments simultaneously
  • Ability to perform with minimal supervision
  • Excellent collaborative and communication skills
  • Experience working with other community-based organizations
  • Organized, detail-oriented
  • Valid Driver’s License, state-required insurance and reliable transportation required


Work Environment:
The work environment is representative of those an employee encounters while performing the essential functions of this job including traditional office environments and performance of work within client residents. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Although remote work is occasionally permitted for this position, the individual must reside primarily in North Texas with the ability to work from the office, corporate location or other necessary location on a daily basis.


Work Hours:

  • Monday-Saturday (flexible hours)
  • May require some evenings, weekends for special events
