Overview

The Volunteer Coordinator & Assistant to Director of Operations plays a key leadership role in ensuring the Miracle League of the Triangle delivers exceptional experiences for players, families, and volunteers. This role oversees all aspects of volunteer engagement—including recruiting, scheduling, training, development, and on-field support—and exercises independent judgment in planning, coordinating, and improving volunteer operations across all MLT locations. Secondary responsibilities include supporting the DOB in fulfilling game-day and seasonal operational success of the League.

The position requires strong organizational skills, proactive problem-solving, and the ability to make decisions that directly impact program quality, game operations, and participant experience.

Key Responsibilities

Volunteer Program Management

· Lead the full volunteer lifecycle: recruitment, screening, communication, retention, recognition, and issue resolution.

· Independently plan volunteer staffing levels for all games, events, and programs.

· Maintain and manage volunteer systems, scheduling platforms, and communication tools.

· Develop and implement volunteer training materials and onboarding processes.

· Exercise discretion and judgment in assigning volunteers, responding to no-shows, and adjusting staffing levels to ensure safe and quality operations.

· Build and maintain relationships with schools, corporate groups, civic organizations, and community partners to expand volunteer capacity.

Operational Leadership & Decision-Making

· Serve as Assistant to Director of Operations, supporting the Director on strategic and operational initiatives.

· Assist in planning seasonal operations, player services, workflows, and volunteer needs.

· Provide on-site leadership during game days, making real-time decisions regarding volunteer assignments, field staff support, safety needs, scheduling adjustments, and operational execution.

· Help oversee special events, program days, and partner engagements requiring volunteer coordination.

· Work with the team to identify operational gaps and help implement solutions that enhance efficiency, safety, and overall program experience.

Program Administration & Reporting

· Manage volunteer databases and ensure accurate records of hours, assignments, and engagement.

Produce volunteer activity reports, attendance summaries, and seasonal metrics for staff and board.

· Collaborate to integrate volunteer data into organizational planning and evaluation.

· Identify trends, propose solutions, and support the development of new volunteer initiatives.

Cross-Department Collaboration

· Work closely with the Player Services Coordinator, Field Managers, and Field Staff to support program quality.

· Assist with communication strategies, including email updates, volunteer reminders, newsletter contributions, and program announcements.

· Represent MLT in external meetings or presentations related to volunteer involvement and community outreach.

Physical Requirements/Work Environment:

  • Work in an area with colleagues close by and many activities going on simultaneously. He or she must be able to function with other employees in the area.
  • Be present at noisy and busy ball fields in various weather conditions, full of children and adults, working hands-on with MLT staff and volunteers.
  • Flexibility in schedule required, sometimes working remotely, VCAD must be self-disciplined and self-motivated.

· While performing the duties of this job, the employee is regularly required to sit; use hands and fingers to touch, handle, or feel; and see, talk or hear. The employee frequently is required to reach with hands and arms. The employee is frequently required to stand, walk, and occasionally required to stoop, kneel, couch, or crawl. The employee must occasionally lift and/or move up to 30 pounds.

· Local travel is occasionally required, using the employee’s personal vehicle (subject to authorized reimbursement).

Job Type: Full-time

Pay: $45,000.00 - $52,000.00 per year
