REPORTS TO: Director of Volunteers and Bereavement
SUMMARY: Under the direction of the Director of Volunteers and Bereavement, the Volunteer Specialist is responsible for carrying out mandated volunteer program activities within Community Hospice & Health Services.
RESPONSIBILITIES:
- Prepares for and attends weekly Interdisciplinary Team Meetings; participates in creating the Plan of Care for each patient as required by Medicare Conditions of Participation
- Assists the Director of Volunteers and Bereavement in the ongoing recruitment, selection, education, supervision, evaluation, and retention of volunteers to serve as support for hospice families, patients, staff, and ongoing hospice projects.
- Assists the Director of Volunteers and Bereavement in conducting volunteer orientation and training both at Community Hospice & Health Services and within the community, on an as needed basis.
- Responsible for maintaining and mandated documentation regarding all volunteers and volunteer activity within the hospice organization and for patient medical records.
- Provides information to individuals and community groups about hospice volunteer services and opportunities.
- Assists the Director of Volunteers and Bereavement in evaluation existing volunteers as to their appropriateness in performing their responsibilities.
- Collects volunteer data sufficient to meet both internal and external organizational needs and prepares monthly statistics reports for internal and external stakeholders.
- Continually assesses volunteer program to determine effectiveness and improve volunteer retention.
- Actively participates in the hospice's annual agency audit and the quality management program.
- Follows all Community Hospice & Health Services and procedures including, but not limited to, safety, infection control, privacy and confidentiality, and HIPAA
- Performs other duties as assigned, including work in other areas to cover absences or relief to equalize peak work periods or otherwise meet the needs of the organization.
SUCCESS FACTORS:
- Ability to adhere to and ensure compliance with Community Hospice policies and procedures, Medicare Conditions of Participation for Hospice, CCR, Title XXII regulatory requirements for the Volunteer Program, and HIPAA policies.
- Ability to communicate, collaborates, and cooperates with patients, families, hospice staff, and volunteers.
- Ability to collect, organizes, and analyzes data at a level sufficient to document for regulatory compliance.
- Ability to communicate on a professional level in both written and verbal formats.
- Ability to handle confidential information and disseminate appropriate information to coworkers, volunteers, and other hospice departments.
- Ability to identify and resolve both routine and non-routine problems.
- Ability to be self-motivated and to work independently or under direction.
- Ability to meet deadlines and remain on timelines for multiple projects and tasks simultaneously.
QUALIFICATIONS:
- High school diploma or equivalent required.
- Minimum one-year experience in a hospice or social services setting preferred.
- Minimum one-year experience in a position that requires integration of volunteer services.
- Excellent computer, data entry, and database maintenance skills required.
- Ability to organize and develop volunteer hospice personnel for both patient and organizational needs.
- Professional attitude, sensitivity to volunteers and to hospice work.
- Valid California Driver’s License, reliable transportation, and current auto insurance.
- Bilingual Spanish preferred.
WORK ENVIRONMENT: This position works in an office environment using a computer and general office equipment.
WORK SCHEDULE: Position is regular full-time required to work a regularly scheduled 40-hour workweek, with overtime as needed to meet the needs of the organization. Part-time (20 – 31 hours per week) or temporary positions may be occasionally utilized, if justified by department needs.
