Open to a new challenge? Our fast-growing 8-year young U.S. business is seeking a dynamic, motivated, and knowledgeable Warehouse Co-Ordinator for our ophthalmic lens wholesale business. The role will be split between office administrational duties and time in the warehouse physically processing orders. You will assist the Operations Manager and Supervisor with duties such customer communications (email and verbal), processing orders, shipping and invoicing orders, assisting with requests from sales reps, opening new accounts, picking and shipping orders, inventory counts, ensure correct documentation and accurate update of inventory and more.
Job requirements to include but not be limited to:
Administrative Responsibilities
- Coordinate daily workflow between warehouse operations, sales teams, and leadership.
- Manage staffing updates, and communication for warehouse personnel.
- Process purchase orders, shipping documents, invoices, and internal paperwork.
- Maintain accurate records for inventory, shipments, and quality control logs.
- Provide feedback and support to sales team and senior as required from time to time
- Answer telephone calls and process customer queries as required, efficiently and professionally
- Support budget tracking, including expenses related to equipment, supplies, and labor.
- Handle email correspondence, customer inquiries, and internal communication.
- Assist leadership with planning, documentation, and execution of operational initiatives.
- Ensure compliance with company policies, safety regulations, and audit requirements.
- Assist in chasing and collecting/processing customer payments including creation of information files for third party collectors
- Handle customers returns including issuing of RAN, processing return for credit and liaising with Ops Management team to return saleable product back to inventory.
- Liaise with freight forwarders regarding large bulk shipping and/ or documentation required for international shipping
- Work in a professional, personable and courteous manner in a clean and organized work station
Warehouse Responsibilities
- Assist daily warehouse operations including receiving, picking, packing, and shipping.
- Maintain organized warehouse layout and ensure proper storage of materials and products.
- Perform inventory counts, reconcile discrepancies, and update inventory systems.
- Operate warehouse equipment (pallet jacks, scanners, etc.) safely and efficiently.
- Inspect incoming and outgoing shipments for accuracy and quality standards.
- Support workflow optimization by identifying bottlenecks and recommending improvements.
- Assist with loading/unloading deliveries and preparing outbound shipments.
- Assist with safety protocols and maintain a clean, hazard‑free work environment.
- Accurately and efficiently pick, pack and ship customer orders to hit the daily 6pm collection deadline
- Accurately and efficiently place lens product in their respective location from inbound shipments
- Ability to identify operational inefficiencies and implement solutions.
- Professional yet personable, verbal and written communication to interact with team members, senior management, and external partners including customers.
- Capability to work in physically demanding conditions and adapt to different environmental factors in the warehouse.
Pay: $20.00 - $21.50 per hour
