Job Summary

The Warehouse Manager is responsible for the management of branch operations of National HME, Inc (NHME) according to the policies/procedures of NHME to assure operating in a fiscally sound manner while achieving the company’s mission, vision, goals and standards. Monitoring of quality assurance of operations, procurement of equipment and supplies, supervision of personnel, and vehicles.

Essential Functions of a Warehouse Manager

  • Capable of performing all essential job functions of Warehouse Technician and Medical Service Technician, when necessary or required based on business needs.
  • Educates and trains Warehouse Technician and Medical Service Technician.
  • Safely drives (day or night) company vehicles to assist with deliveries, pick-ups, and service calls when necessary.
  • Interacts with patients and customers of various ages.
  • Plans layout of stockroom, warehouse, and other storage areas, considering turnover, size, weight, and related factors of items stored.
  • Advises employees on the care and preservation of items received, stored, and shipped; methods and use of equipment in handling, storing, maintaining, and shipping stock; and related problems.
  • Reviews records for accuracy of information and compliance with established procedures, and to determine adequacy of stock levels.
  • Conducts monthly physical inventory within company goal.
  • Research history of items to determine reasons for discrepancies between inventory and stock control records and recommends remedial actions to resolve discrepancies.
  • Determines work procedures, prepares work schedules, and expedites workflow.
  • Completes Warehouse Manager Task List for branch location.
  • Studies and standardizes procedures to improve efficiency of subordinates.
  • Maintains harmony among workers and resolves grievances.
  • Follow NHME Progressive Disciplinary Policy
  • Maintain all inventory and soft good levels according to preset par levels.
  • Coordinate the cleaning, service, and maintenance of all dirty equipment.
  • Ensure that all serviced equipment is properly documented into HCP.
  • Communicate with customer service regarding day-to-day workflow.
  • Maintain clean, organized, and sanitary warehouse structure.
  • Ensure all equipment in dirty area is completely processed appropriately every day.
  • Order all needed items with approval and submits documentation according to procedure.
  • Perform safety inspection once a month according to procedure.
  • Ensure all warehouse floors are swept and mopped weekly.
  • Maintain, inspect, and coordinate all vehicle maintenance with FMC
  • Complete all required Advance Online education, certification, and competency testing.
  • Ensure all vehicle accessories are accounted for each day according to procedure.
  • Review all Daily Vehicle Inspections in HCP and process Weekly Vehicle Inspections per policy.
  • Perform PPE certifications with all new employees and annually with all staff.
  • Asset DME within HCP to ensure tracking of items and serial numbers if applicable.
  • Reviews prep reports with staff and identifies missing items and provides coaching/counseling if warranted
  • Annually update staff competencies and reviews within Paylocity
  • Ensure the MSDS log is updated any time any new chemical is purchased for NHME.
  • Inspect all staff are using PPE correctly all the time.
  • Ensures all oxygen refill procedures are documented and logged properly according to procedure to include lot numbers.
  • Review emergency procedure policy annually
  • Perform annual fire alarm drill and security alarm testing with all staff and document according to procedure.
  • Schedule repair or replacement of all damaged equipment in a timely manner.
  • Inspect all trucks while loading and unloading that all equipment is secured and transported properly and without damage.
  • Ensure all technicians are loading need equipment above required par level.
  • Assist with assuring MST’s are out of the office and on the road within 45 mins of shift
  • Ensure all equipment has designated locations and all staff is educated on them.
  • Perform competency tests on warehouse staff according to procedure.
  • Always remember to protect the patient’s information when in the field and on the phone.
  • Update timesheet for all staff daily
  • Inspect all staff has NHME approved clothing and ID every day.
  • Participates in Improvement of Operational Performance (IOP) activities.
  • Participates in traditional and e-learning programs.
  • Ensures compliance with Company policies and procedures.
  • Works effectively with other company employees, managers, and departments.
  • Performs all job functions with Company Mission, Vision, and Goal Statements in mind.
  • Interviews, hires, trains, and terminates employees
  • Perform competency test on staff according to policy.
  • Place PO for branch to ensure appropriate items are available for deliveries.
  • Close out end of month POs prior to next ordering cycle.
  • Address behavioral issues as needed according to policy.
  • Complete quarterly audits per policy including HQAA when applicable.
  • Perform the daily review of the supervised personnel and make sure staff are performing their jobs completely and as expected.
  • Review schedules to ensure proper monthly coverage for all staff
  • Review and administer authority for all requested PTO from staff
  • Meet weekly with staff to discuss improvements, issues, and service standards.
  • Coordinate staff in the event of a disaster according to procedure.
  • Assure personnel are providing adequate patient education and patient surveys.

Job Requirements

Education, Certificate, and Licensure

High school diploma; six months related work experience and/or training; or equivalent combination of education and experience.

Requirements

Must be 23 years or older to apply. Must demonstrate proficient ability and practical knowledge of computers, software, and products applicable to the industry. Additionally, the applicant is expected to demonstrate the ability to quickly acquire knowledge of departmental program structure (Mission, Vision, and Goal Statements) and department policies and procedures. Must be able to work a flexible schedule, as needed, and have the ability to demonstrate effective time management skills while working independently and supervising others.

Math Ability

Must demonstrate proficient ability to apply mathematical concepts such as basic algebra and geometry to such tasks as calculating figures and amounts, discounts, interest, commissions, proportions, percentages, area, circumference, and volume to practical situations.

Supervisory Requirements

Must demonstrate proficient ability to directly supervise Warehouse Department and/or Division personnel in a manner consistent with Company policies and applicable laws. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems

Reasoning Ability

Must demonstrate proficient ability to understand, interpret, and apply an extensive array of complex mathematical instruction and information through analytical collection of factual data to produce logical solutions and/or conclusions where only limited standardization exists.

Language and Communication Ability

Must demonstrate proficient ability to foster professional working relationships utilizing strong interpersonal and communication skills organization-wide. Applicant must demonstrate the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and/or governmental regulations and effectively present and debate any assortment of information relevant to their area of expertise and designated responsibilities and duties with members of the Company and on behalf of the Company when appropriate. Additionally, the applicant must demonstrate the ability to write reports, business correspondence, and procedure manuals.

Physical Demands

Must demonstrate the ability to work in a standard office setting and use standard office equipment, which may include but is not limited to: computers, calculators, and other office supplies. Requires stamina to maintain attention to detail despite interruptions; strength to lift and carry files weighing up to 10 pounds; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the phone; manual dexterity to perform job functions and stamina to frequently sit for extended periods of time. Additionally, the employee is occasionally required to walk and lift and/or move up to 60 pounds.

Technology Skills

Must demonstrate proficient personal computer use and knowledge of word processing software, spreadsheet software, accounting software, inventory software, and database software. Additionally, the applicant must demonstrate the ability to quickly and proficiently learn to use company specific software programs and any other handheld or technology tools as required for completing job tasks.

Must demonstrate proficiency and productivity in a fast-paced environment with unscheduled interruptions while maintaining acceptable judgment, responsibility, and assumption for decisions, consequences, and results. Applicant must demonstrate good organization, time management, and communication skills. Occasionally an adjusted work schedule is required to accommodate company needs.
