Role Description

The Workshop Coordinator is responsible for the overall operation of fabrication , including customer communication, quotations, procurement, inventory management, and documentation. This role requires hands-on involvement in workshop operations alongside technicians and full accountability for project coordination, material management, and quality control. The position demands a proactive, multi-skilled engineer capable of handling both administrative and operational responsibilities in a small-team environment.


DUTIES & RESPONSIBILITIES

1. Customer & Project Coordination

Communicate with customers to receive requests for quotations (RFQs) and technical requirements.

Prepare accurate and timely quotations for customers based on project specifications.

Follow up with customers on order confirmations, delivery timelines, and technical clarifications.


2. Procurement & Inventory Management

Procure raw materials and consumables for the workshop based on project requirements and stock levels.

Maintain accurate inventory records, including material usage and remaining stock.

Coordinate with suppliers to obtain quotations, delivery schedules, and technical specifications.


3. Documentation & Control

Manage all technical and commercial documentation related to workshop operations.

Record and track RFQs, quotations, purchase orders, material receipts, and fabrication progress.

Ensure all workshop drawings, manuals, and reports are properly filed and accessible.


4. Estimation & Planning

Estimate material requirements, fabrication time, and labor for each job.

Plan daily, weekly, and monthly workshop activities to optimize workflow.

Support cost control by monitoring material usage and project expenditures.


5. Quality Assurance

Ensure fabricated products meet company and client quality requirements.

Conduct inspections before shipment or handover to clients.

Implement corrective actions for any quality issues identified.


6. General Responsibilities

Maintain a clean, organized, and safe workshop environment.

Assist in developing and improving workshop processes and workflows.

Perform other duties as assigned by the Managing director.


JOB SPECIFICATIONS (Requirements)

Qualifications:

Bachelor’s degree in Engineering, Management, logistics or a related field.

Experience in sheet metal fabrication, production coordination, or workshop management preferred.


Specific Skills:

Customer communication and quotation preparation.

Procurement, inventory management, and material planning.

Workshop operations and hands-on fabrication knowledge.

Estimation of materials, time, and labor for fabrication jobs.

Documentation and record-keeping skills.

Problem-solving and multitasking in a small-team environment.

Quality control and assurance in fabrication processes.

Ability to work independently with high accountability.


Experiences:

Minimum 3–5 years of experience in sheet metal fabrication, mechanical workshop operations, or industrial manufacturing.

Proven experience in preparing quotations and cost estimations for fabrication or mechanical projects.

Experience in raw material procurement and supplier coordination.

Practical experience in inventory management and stock control systems.

Hands-on exposure to sheet metal machinery such as laser cutting machines, press brakes, and welding equipment is preferred.

Experience working in a small team environment where multitasking and independent responsibility are required.

Familiarity with reading and interpreting technical drawings and fabrication plans.

Superior computer skills.
