Job Summary
Are you a tech-savvy professional with an exceptional front-facing presence? Cloud Rexpo is seeking a dynamic Zoom Host & HR Reception Desk Officer to manage the vital intersection of our physical office and our virtual meeting environments.
In this dual-function role, you will be the primary point of contact for our organization. You will seamlessly balance running a high-end, professional physical reception desk with scheduling, hosting, and managing the live technical logistics of all corporate virtual Zoom sessions (including candidate interviews, onboarding, and client meetings). If you are deeply organized, possess crisp communication skills, and stay completely calm under pressure, we want you on our team!
Key Responsibilities1. Virtual Zoom Hosting & Management
- Live Session Hosting: Launch and technically manage all organizational Zoom sessions, including interviews, client calls, onboarding, and corporate briefings on time.
- Technical Controls: Configure advanced session settings in advance (waiting rooms, security protocols, recording directories, co-host permissions, and participant muting).
- Interview Execution: Admit candidates at confirmed times, introduce the panel format professionally, and hand off the session cleanly to the HR panel.
- Troubleshooting: Address basic audio, video, and connectivity disruptions calmly and instantly mid-session.
- Data Logging: Maintain accurate Zoom session logs and securely save/date-label recordings to designated folders.
2. Physical Front Desk & Candidate Reception
- Visitor Management: Greet all walk-in candidates, clients, and vendors professionally; maintain a flawless, tidy front desk environment and log visitor data diligently.
- Candidate Intake: Verify appointment statuses against the HR master schedule, issue/collect application forms, and manage waiting area timelines.
- Call Handling: Securely operate the reception telephone line—screening, transferring, and routing accurate messages.
- HR Admin Support: Maintain local physical/digital records (visitor logs, courier registers) and assist with preparing candidate interview packs or onboarding welcome kits.
Required Qualifications & SkillsMust-Have Technical Skills:
- Zoom Expertise: Hands-on proficiency with backend Zoom host controls, waiting rooms, breakout sessions, and account constraint tracking. Prior Zoom hosting experience in an organizational context is required.
- Basic IT Troubleshooting: Proven ability to instantly fix minor audio, camera, or network lag issues independently.
- Productivity Tools: Reliable proficiency with MS Office (Word, Excel, Outlook) and shared calendar scheduling tools.
Communication & Interpersonal Skills:
- Language Fluency: Clear verbal communication skills in both Urdu and English; written correspondence must be fully professional and grammatically precise in English.
- High Composure: Ability to multi-task between a physical visitor, a ringing phone, and a live virtual waiting room without losing focus or visual poise.
- Discretion: An absolute commitment to maintaining 100% confidentiality regarding HR records, applicant details, and internal management communications.
Experience & Education Requirements
- Education: Minimum Intermediate (FA/FSc) or Bachelor's degree (Degrees in Business Administration, Mass Communication, or related fields preferred).
- Experience: Minimum 1 to 2 years of experience in a front-desk, reception, administrative coordination, or customer-facing role.
- Experience operating within a fast-paced recruitment coordination or HR support ecosystem is a significant advantage.
