The ideal candidate will demonstrate exceptional organizational skills, proactive problem-solving abilities, and a positive attitude to help manage complex schedules and diverse responsibilities efficiently.Duties<ul><li>Manage and coordinate detailed calendars using tools like Microsoft Outlook Calendar and Google Workspace, ensuring all appointments, meetings, and events are scheduled accurately.</li><li>Provide comprehensive executive administrative support, including drafting correspondence, preparing reports, and handling confidential information with discretion.</li><li>Organize and plan events, meetings, and travel arrangements to ensure seamless execution of all logistics.</li><li>Handle multi-line phone systems with professionalism, practicing excellent phone etiquette while screening calls and taking accurate messages.</li><li>Perform data entry, filing, and document proofreading to maintain precise records and ensure high-quality communication.</li><li>Assist with bookkeeping tasks using QuickBooks and perform basic office management duties such as supply ordering and maintaining office supplies inventory.</li><li>Support project coordination efforts by tracking deadlines, preparing materials, and liaising with team members to meet objectives efficiently.</li><li>Conduct transcription of meetings or notes as needed, ensuring clarity and accuracy for record-keeping purposes.</li><li>Manage front desk responsibilities including greeting visitors, answering inquiries, and maintaining a welcoming office environment.</li></ul>Skills<ul><li>Proven experience as a Personal Assistant or in an administrative role with strong office management skills.</li><li>Exceptional organizational skills with the ability to multitask effectively in a fast-paced setting.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and Microsoft Outlook Calendar.</li><li>Excellent typing speed combined with strong proofreading and transcription abilities to produce error-free documents swiftly.</li><li>Familiarity with bookkeeping software like QuickBooks and experience handling basic bookkeeping tasks such as invoicing and expense tracking.</li><li>Strong project coordination skills to manage multiple priorities simultaneously while meeting deadlines.</li><li>Outstanding communication skills with professional phone etiquette across multi-line phone systems.</li><li>Knowledge of office procedures including filing systems, data entry, clerical tasks, and front desk operations.</li><li>Ability to adapt quickly to new technologies such as DocuSign for electronic signatures or other digital tools used in document management.
