General Notes The Department of Internal Medicine at the Dell Medical School is looking for a Designated Healthcare Interpreter. Purpose The designated healthcare interpreter interprets all aspects of patient care and academic practice between patients, clinicians, and departments. The primary function of the Interpreter is to provide interpretation between signed and spoken language to a deaf physician in all areas of the physician's work, including but not limited to: clinical, education, research, academic, and administrative settings. The interpreter works to relay information accurately and completely in compliance with all clinical site policies and procedures, particularly relating to patient confidentiality and informed consent, as well as the Code of Professional Conduct and Code of Ethics as set forth by the Registry of Interpreters for the Deaf and the Board for the Evaluation of Interpreters. Responsibilities <ul><li> Interpret for Deaf and Hard of Hearing clinicians in their interactions with patients, families, trainees, care providers, and other hospital personnel in all settings and areas of the physician's work </li><li>Interpret complex and/or sensitive medical and personal information, including diagnostic and surgical procedures, medical histories and medical, social and psychological assessments, and diagnostic and treatment plan development.</li><li>Meet regularly as scheduled by deaf physician to assist in coordination of schedule for language access services in all settings and areas of the physician's work</li><li>Work as a team with other interpreters when needed.</li><li>Communicate with UT, and partner hospital-related faculty, staff, trainees, and visitors as necessary</li><li>Enhance community outreach through partnerships and collaboration with local, state, regional, and/or national interpreting and healthcare organizations</li><li>Maintain position-related documentation (e.g., time logs, professional development, academic activities)</li><li>Engage in professional development activities (e.g., BLS, professional CE activities) as necessary to maintain appropriate credentials</li><li>Undergo health care maintenance (e.g., annual PPD, annual influenza vaccine) as necessary</li><li>Read and respond to electronic mail in a timely manner</li><li>VA-specific needs.</li><li>Other related duties as assigned.</li></ul> Required Qualifications Minimum of current RID and/or NIC and/or Texas BEI certification. At least 5 years of professional interpreting experience in healthcare settings. Excellent organizational, interpersonal, written, ASL, and oral communication skills. Flexibility and good judgement. Highly developed sense of discretion in dealing with confidential information. Ability to multi-task and work well in a fast-paced, stressful environment while maintaining confidentiality. Professional appearance and demeanor. History of regular and punctual attendance in the workplace. The Interpreter consistently will work in high-level, high-stakes circumstances, and must possess advanced proficiency with medical concepts and terminology, in both lay and professional language, and in both spoken and signed modes. Interpreters without an academic degree may be considered on a case-by-case basis. Relevant education and experience may be substituted as appropriate. Preferred Qualifications Bachelor's degree. More than 5 years of experience as an interpreter working frequently with deaf medical professionals. Purpose The Administrative Program Coordinator manages staffing assignments, including hiring and allocation changes, to support NECMHR research activities. It coordinates administrative operations as well as handling equipment and material procurement with vendors to ensure efficient study operations. Additionally, the role oversees scheduling and logistical planning to facilitate the successful execution of research studies. This is a government funded position with an end date of 8/31/2026, renewable based upon availability of funding, work performance, and progress toward research goals. Responsibilities <ul><li>Assists with scheduling and administrative tasks for Director of Research and Clinical Research Manager</li><li> Provides administrative support for the NECMHR and other research initiatives, including oversight of inventory management, clerical duties, and operational support for the research laboratory.</li><li>Follows structural protocols by implementing and executing the conduct of research trials and grant funded research.</li><li>Participates in assigned projects with an emphasis on coordination and communication with research sponsors, community partners, clinical services, University administrators, investigators, subawards and research team members. Administrative Program Coordinator

Purpose The Healthcare Contracts Specialist provides essential administrative and clerical support to the Contracts function and is responsible for organizing, tracking, and maintaining contract documentation, coordinating contract workflows, and ensuring timely processing of agreements. Reporting to the Senior Finance Business Partner, the Healthcare Contracts Specialist works closely with clinical departments, legal staff, supply chain, finance, and compliance. The position requires strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced, highly regulated environment. The Healthcare Contracts Specialist plays a key role in supporting the contract lifecycle process, ensuring compliance with internal policies and external regulations, and facilitating communication between departments and external vendors. Responsibilities Contract Lifecycle Management<ul><li> Prepares, formats, and edits contract documents in collaboration with the clinical departments and with the direction of finance, legal or contracts staff for clarity and consistency. </li><li> Tracks contract status and deadlines using contract management software or spreadsheets. </li><li> Maintains organized digital and physical contract files in accordance with institutional policies. </li><li> Assists with routing contracts for review, approval, and signature. </li><li> Ensures executed contracts are properly archived and accessible. </li><li> Prepares summaries and reports on contract status. </li><li> Reviews contracts for formatting, completeness, and compliance with templates. </li></ul>Internal and External Communication <ul><li> Communicates with internal stakeholders to gather required documentation or approvals. </li><li> Responds to inquiries from vendors, legal counsel, and department staff regarding contract status. </li><li> Schedules meetings and maintains calendars for contract-related discussions. </li><li> Drafts professional emails, memos and routine correspondence and contract-related memos to internal and external stakeholders. </li><li> Escalates issues or delays to appropriate personnel. </li><li> Responds promptly to inquiries from departments and vendors. </li><li> Meets the expectations and requirements of internal and external customers, building rapport with stakeholders to facilitate smooth communication. </li><li> Provides clear guidance on contract processes and requirements. </li></ul>Contract Databases and Logs <ul><li> Enters contract data into tracking systems or databases, ensuring accuracy. </li><li> Identifies discrepancies or missing documentation in contract data. </li><li> Updates contract logs with key dates, terms, and renewal information. </li><li> Generates standard reports on contract activity and status. </li><li> Assists with data validation and cleanup to ensure accuracy. </li><li> Supports audits by retrieving and organizing requested contract records. </li><li> Maintains logs and databases that are current and accessible. </li></ul>Compliance and Policy Adherence <ul><li> Verifies that contracts meet institutional formatting and policy requirements. </li><li> Flags missing or incomplete documentation for review. </li><li> Supports compliance with HIPAA, Stark Law, Anti-Kickback Statute, and other applicable regulations. </li><li> Participates in training on contract compliance and confidentiality. </li><li> Maintains confidentiality of sensitive contract information. </li></ul>General Administrative Support <ul><li> Orders office supplies and manages department filing systems. </li><li> Prepares agendas, takes meeting minutes, and distributes follow-up items. </li><li> Assists with onboarding of new staff or contractors. </li><li> Supports special projects and process improvement initiatives. </li></ul>Contracts Renewals and Expirations <ul><li> Monitors upcoming contract expirations and alerts responsible parties. </li><li> Prepares renewal templates and assists with drafting updated terms. </li><li> Coordinates with departments to confirm continued need for services. </li><li> Tracks renewal approvals and ensures timely execution. </li><li> Archives expired contracts per retention policies. </li></ul> Required Qualifications <ul><li> Associate's degree in Business Administration, Legal Studies, or a related field of study. </li><li> Two (2) years of administrative work experience, including at least 1 year supporting contract management, legal procurement, or compliance functions in a healthcare, legal, or corporate setting. </li></ul> Preferred Qualifications <ul><li>Bachelor's degree in Business Administration, Legal Studies, Healthcare Administration, or a related field of study.</li><li> Three (3) years of experience in a healthcare or legal administrative support role, with direct exposure to contract lifecycle processes, document management systems, and regulatory compliance. </li><li>Certifi ed Administrative Professional (CAP) offered by the International Association of Administrative Professionals (IAAP); demonstrates advanced administrative knowledge and skills </li><li> Certified Contract Manager (CCM) offered by the National Contract Management Association (NCMA); beneficial for understanding contract lifecycle and compliance </li><li> Notary Public Commission </li><li> HIPAA Certification;
