Sales & Administration Assistant (UAE National)

We're hiring a Move Coordinator &amp; Admin who will manage move operations from planning through delivery, while also handling essential administrative functions. You&rsquo;ll ensure that all moving jobs run smoothly, clients are well supported, and internal processes are clean, efficient, and well documented.KEY RESPONSIBILITIES<ul><li>Move Coordination</li><li>Plan, schedule, and coordinate all residential and commercial moves, ensuring they are completed on time and to high quality standards.</li><li>Serve as key contact for clients, operations team, and vendors regarding logistics, scheduling, and move details.</li><li>Oversee mobile POD deliveries, loading, inventory tracking, and storage processes.</li><li>Liaise with packing, transport, and operations units to ensure seamless execution of moves.</li><li>Administrative Duties</li><li>Maintain up&#8209;to&#8209;date documentation for every move: contracts, permits, invoices, service agreements, checklists.</li><li>Handle job scheduling, calendar management, and internal communication about move plans.</li><li>Prepare and process invoices, claims, service credits, and financial reconciliations related to moving jobs.</li><li>Ensure proper data entry into systems / CRM / move&#8209;management tools, keeping records accurate and accessible.</li><li>Assist with website content updates, reporting, and other admin support to Sales, Marketing, and Operations teams.</li><li>Customer &amp; Stakeholder Management</li><li>Act as point of contact for client enquiries before, during, and after moves.</li><li>Proactively identify potential issues or delays and communicate them clearly to clients and teams.</li><li>Manage complaints and escalations: track issues, follow up, ensure resolution.</li><li>Perform post&#8209;move follow&#8209;ups to measure satisfaction and collect feedback.</li><li>Quality, Reporting &amp; Improvement</li><li>Monitor move performance metrics, documentation completeness, and financial impacts.</li><li>Generate regular reports on move volume, costs, client feedback, and recurring issues.</li><li>Recommend improvements to processes, logistics, or admin workflows based on insights.</li></ul>Key Skills &amp; Competencies:<ul><li>Minimum of 2 years&rsquo; experience in move coordination / logistics / operations or similar.</li><li>Strong administrative skills: documentation, scheduling, invoicing, reporting.</li><li>Excellent communication skills (phone, email, chat) with ability to manage multiple stakeholders.</li><li>Customer&#8209;oriented, solutions&#8209;driven mindset.</li><li>Good analytical ability: able to spot trends and turn feedback into actionable change.</li><li>Proficiency in CRM or project/move&#8209;management tools and Microsoft Office (especially Excel).</li></ul>Personal Attributes:<ul><li>Organised &amp; detail&#8209;oriented; avoids oversights.</li><li>Calm under pressure; handles busy move periods gracefully.</li><li>Proactive; sees what needs to be done before being asked.</li><li>Team player; works well with Sales, Operations, Admin and Customer Care teams.</li><li>Brand ambassador; embodies Easytruck values of care, transparency, and delight.</li></ul>Job Type: Full-timePay: AED3,500.00 - AED5,000.00 per month
