We're hiring a Move Coordinator & Admin who will manage move operations from planning through delivery, while also handling essential administrative functions. You’ll ensure that all moving jobs run smoothly, clients are well supported, and internal processes are clean, efficient, and well documented.

KEY RESPONSIBILITIES

  • Move Coordination
  • Plan, schedule, and coordinate all residential and commercial moves, ensuring they are completed on time and to high quality standards.
  • Serve as key contact for clients, operations team, and vendors regarding logistics, scheduling, and move details.
  • Oversee mobile POD deliveries, loading, inventory tracking, and storage processes.
  • Liaise with packing, transport, and operations units to ensure seamless execution of moves.
  • Administrative Duties
  • Maintain up‑to‑date documentation for every move: contracts, permits, invoices, service agreements, checklists.
  • Handle job scheduling, calendar management, and internal communication about move plans.
  • Prepare and process invoices, claims, service credits, and financial reconciliations related to moving jobs.
  • Ensure proper data entry into systems / CRM / move‑management tools, keeping records accurate and accessible.
  • Assist with website content updates, reporting, and other admin support to Sales, Marketing, and Operations teams.
  • Customer & Stakeholder Management
  • Act as point of contact for client enquiries before, during, and after moves.
  • Proactively identify potential issues or delays and communicate them clearly to clients and teams.
  • Manage complaints and escalations: track issues, follow up, ensure resolution.
  • Perform post‑move follow‑ups to measure satisfaction and collect feedback.
  • Quality, Reporting & Improvement
  • Monitor move performance metrics, documentation completeness, and financial impacts.
  • Generate regular reports on move volume, costs, client feedback, and recurring issues.
  • Recommend improvements to processes, logistics, or admin workflows based on insights.

Key Skills & Competencies:

  • Minimum of 2 years’ experience in move coordination / logistics / operations or similar.
  • Strong administrative skills: documentation, scheduling, invoicing, reporting.
  • Excellent communication skills (phone, email, chat) with ability to manage multiple stakeholders.
  • Customer‑oriented, solutions‑driven mindset.
  • Good analytical ability: able to spot trends and turn feedback into actionable change.
  • Proficiency in CRM or project/move‑management tools and Microsoft Office (especially Excel).

Job Type: Full-time

Pay: AED3,500.00 - AED5,000.00 per month
