Our projects require strong technical documentation, authority approvals, tender compliance, and executive-level coordination.Role OverviewWe are seeking a highly organized Technical Sales Coordinator with strong experience in technical submittals, authority approvals, tender registrations, and sales documentation, who can also support the CEO&rsquo;s office. The role is central to ensuring winning tenders, compliant submissions, smooth sales coordination, and structured document control.This position requires someone who understands exhibitions, events, and interior fit‑out workflows and can comfortably coordinate between sales, design, projects, authorities, and executive management.Key ResponsibilitiesTechnical Submittals &amp; Authority Coordination<ul><li>Prepare and manage technical submittals including drawings, materials, method statements, samples, and compliance documents.</li><li>Coordinate with authorities and venue approvals (exhibition organizers, municipalities, civil defense, mall management, event venues, etc.).</li><li>Maintain authority requirements, submission timelines, revision tracking, and approvals log.</li><li>Follow up approvals and ensure compliance with project and authority regulations.</li></ul>Tender Registration &amp; Submission<ul><li>Handle company registration and pre-qualification on government and private tender platforms.</li><li>Manage end‑to‑end tender submission processes including:</li><li>Technical documents</li><li>Commercial forms</li><li>Compliance statements</li><li>Company credentials</li><li>Coordinate with sales, estimation, and design teams to compile complete tender packages.</li><li>Track tender deadlines, clarifications, addendums, and result notifications.</li></ul>Sales Coordination &amp; Support<ul><li>Support the sales team with:</li><li>Proposal preparation</li><li>Client presentations</li><li>Tender documents</li><li>Contracts and LOAs</li><li>Maintain sales records, pipelines, approvals, and client documentation.</li><li>Coordinate internally to ensure offers are aligned with approvals, costing, and scope.</li></ul>Document Control &amp; Systems<ul><li>Act as Document Controller for sales, tender, and executive documents.</li><li>Maintain organized digital filing for:</li><li>Tenders</li><li>Authority approvals</li><li>Client contracts</li><li>Company legal and compliance documents</li><li>Ensure version control, confidentiality, and audit readiness.</li></ul>CEO Office &amp; Executive Support<ul><li>Support the CEO with:</li><li>Executive correspondence</li><li>Meeting preparation and follow-ups</li><li>Document review and coordination</li><li>Confidential reporting and summaries</li><li>Coordinate between CEO, sales, projects, and external stakeholders to ensure timely communication.</li><li>Maintain professional handling of sensitive and high-level information.</li></ul>Qualifications &amp; Experience<ul><li>Bachelor&rsquo;s degree in Engineering, Architecture, Business Administration, or related field.</li><li>3+ years of experience in exhibitions, events, or interior fit‑out in the UAE.</li><li>Strong experience with:</li><li>Technical submittals</li><li>Authority approvals</li><li>Tender platforms and submissions</li><li>Sales coordination</li><li>Prior experience as Sales Coordinator, Technical Coordinator, or Executive Assistant is highly preferred.</li></ul>Key Skills &amp; Competencies<ul><li>Excellent organizational and documentation skills</li><li>Strong understanding of UAE authority procedures and tender requirements</li><li>Clear communication and professional writing skills</li><li>High attention to detail and deadline control</li><li>Ability to handle confidential executive tasks</li><li>Proficient in MS Office, AutoCAD (basic understanding), PDF tools, and online tender portals</li></ul>What We Offer<ul><li>Competitive salary package</li><li>Exposure to government, semi‑government, and international projects</li><li>Direct experience working with senior leadership</li><li>Career growth into Commercial Manager / Operations / Executive Office roles</li></ul>Job Type: Full-timePay: AED4,000.00 - AED8,000.00 per month

Sales Coordinator

Job Title: Estimator &amp; Quantity Surveyor (Exhibitions &amp; Events)Location: UAE (field/site visits across emirates) Employment Type: Full‑time Experience: 3+ years in exhibitions, events, or temporary structures in the UAE Driving: Valid UAE driving licence + own car (required)Role PurposeOwn the full commercial cycle for exhibition stands and event builds&mdash;from request for quotation (RFQ) through costing, vendor sourcing, negotiation, award, and post‑event reconciliation&mdash;ensuring accuracy, competitiveness, compliance, and on‑time delivery.Key ResponsibilitiesEstimating &amp; Costing<ul><li>Review briefs, drawings, BOQs, specs, and site constraints; clarify gaps with design/PM.</li><li>Prepare detailed cost estimates (materials, fabrication, carpentry, metal, graphics/printing, AV, electrical, rigging, logistics, labour, contingencies).</li><li>Create and maintain cost models and rate libraries for common stand types and components.</li><li>Issue quotations with clear inclusions/exclusions, validity, and lead times.</li></ul>Vendor Sourcing, Negotiation &amp; Award<ul><li>Identify, pre‑qualify, and maintain a strong network of UAE contractors and suppliers (carpentry, metal, acrylics, graphics, AV/IT, truss/rigging, lighting, flooring, furniture, d&eacute;cor, logistics, on‑site services).</li><li>Obtain and compare like‑for‑like vendor quotes; conduct due diligence (trade licences, HSE compliance, insurance, portfolio, references).</li><li>Negotiate price, payment terms, SLAs, warranties, and delivery schedules; recommend award with a clear comparison sheet.</li><li>Raise POs and track supplier performance; enforce scope, quality, and timeline.</li></ul>Quantity Surveying &amp; Controls<ul><li>Develop BOQs, pricing schedules, and value‑engineering options without compromising design intent.</li><li>Track budgets, variations/VOs, and change orders; keep margin and cost‑to‑complete forecasts updated.</li><li>Prepare commercial reports: cost breakdowns, savings, risks, and final accounts.</li><li>Conduct site visits for measurements, take‑offs, and verification of completed works.</li></ul>Procurement &amp; Compliance<ul><li>Execute end‑to‑end procurement (RFQ &rarr; evaluation &rarr; award &rarr; PO &rarr; delivery) in line with company policies.</li><li>Ensure compliance with venue regulations (e.g., rigging, fire‑retardant materials), HSE, and client/organiser requirements.</li><li>Maintain complete documentation: vendor files, approvals, method statements, data sheets, and as‑built costs.</li></ul>Collaboration &amp; Delivery<ul><li>Work closely with design, PM/operations, and client service to confirm deadlines for design, quotation, and client submission.</li><li>Participate in daily huddles and weekly reviews; provide status updates and risk flags.</li><li>Support on‑site during build‑up where commercial presence is required.</li></ul>Required Qualifications &amp; Experience<ul><li>3+ years as Estimator/QS in exhibitions &amp; events (custom stands, double-deck, pavilions, brand activations) in the UAE.</li><li>Strong network of local contractors and suppliers; proven track record in getting competitive quotes fast.</li><li>Hands‑on knowledge of materials, fabrication methods, and venue/organiser processes (DWTC, ADNEC, Expo City, etc.).</li><li>Proficiency in BOQ, take‑offs, and cost build‑ups; advanced Excel/Sheets.</li><li>Ability to read technical drawings (AutoCAD/SketchUp/Revit familiarity is a plus).</li><li>Valid UAE driving licence and own car (role requires regular site/vendor visits).</li><li>Excellent English communication; Arabic is an advantage.</li></ul>Key Skills<ul><li>Commercial acumen &amp; margin protection</li><li>Vendor management &amp; negotiation</li><li>Due diligence and procurement best practices</li><li>Time management &amp; deadline discipline</li><li>Attention to detail and documentation accuracy</li><li>Problem‑solving and value engineering</li></ul>Job Type: Full-timePay: AED6,000.00 - AED10,000.00 per month
