Location : Abu Dhabi
Need a female receptionist with minimum 2 to 4 years of UAE experience.
Requirements:
- Female candidates preferred.
- Minimum of 3 to 5 years of UAE experience as a receptionist.
- Prior experience in the contracting field is required.
- Proficient in MS Office Suite and office management software.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Ability to handle confidential information with discretion.
Roles and Responsibilities :
- Greeting Visitors: Welcome guests and clients warmly, and manage their inquiries.
- Handling Calls: Answer, screen, and forward phone calls; take and relay messages as needed.
- Managing Appointments: Schedule, reschedule, or cancel appointments and meetings; coordinate calendars for staff.
- Document Preparation: Prepare and format documents, reports, and correspondence.
- Office Supplies: Monitor and replenish office supplies; place orders when necessary.
- Information Provision: Provide information about the organization’s services, policies, and procedures.
- Problem Resolution: Address and resolve any issues or complaints from visitors or callers.
- Visitor Logs: Maintain a log of visitors and ensure they follow security protocols.
- Access Control: Issue visitor badges and ensure restricted areas are accessed only by authorized personnel.
- Office Operations: Support day-to-day office operations, including handling office equipment, maintaining a clean and organized reception area, and managing office supplies.
- Creating and Formatting: Prepare and format outgoing documents, including proposals, contracts, bids, and correspondence.
- Approval: Obtain necessary approvals or signatures before dispatching documents.
