Academic Administrator

Position Overview

The Academic Administrator at AFG College plays a key role in supporting the academic operations of the institution. The role requires excellent organizational, administrative, and communication skills to ensure the smooth delivery of academic programs, effective coordination with faculty, and accurate maintenance of student records in line with university and regulatory requirements.

Key Responsibilities

Academic Operations & Support

  • Assist in managing academic timetables, class schedules, and exam timetables.
  • Maintain accurate student records, grades, and transcripts using the College’s systems.
  • Support academic staff with course materials, documentation, and administrative processes.
  • Ensure smooth coordination of academic calendars and semester schedules.

Student Support & Records

  • Provide guidance to students on academic policies, procedures, and processes.
  • Manage student attendance, progression tracking, and related academic documentation.
  • Support enrollment, registration, and course allocation processes.

Faculty Support

  • Act as the first point of contact for faculty regarding administrative and academic requirements.
  • Coordinate with faculty to ensure timely submission of grades, reports, and assessments.
  • Assist in organizing faculty meetings, workshops, and training sessions.

Compliance & Quality Assurance

  • Ensure academic operations are in compliance with AFG College policies and Qatari Higher Education regulations.
  • Assist in preparing reports for internal and external audits.
  • Maintain confidentiality and data integrity at all times.

Communication & Coordination

  • Liaise between academic staff, students, and other administrative departments.
  • Handle academic-related correspondence and ensure effective dissemination of information.
  • Support the organization of academic events, inductions, and student orientation sessions.

Qualifications & Skills

Essential:

  • Bachelor’s degree in Education, Administration, or related field.
  • Prior experience in academic administration within higher education.
  • Strong organizational and time-management skills.
  • Proficiency in MS Office and academic/student management systems.
  • Excellent written and verbal communication skills.

Desirable:

  • Knowledge of UK higher education systems and procedures.
  • Familiarity with compliance requirements in Qatar’s higher education sector.
  • Ability to work under pressure and handle multiple deadlines.
