About Us:

The California Veterinary Medical Association (CVMA) is the largest state veterinary medical association in the country, representing over 7,000 members—including veterinarians, veterinary staff, students, and faculty. We provide critical services to California veterinary professionals, including legislative and regulatory advocacy, continuing education, and innovative programs that save members time and resources.

As the voice of the veterinary profession in California, CVMA is guided by a dedicated Board of Governors and House of Delegates, supported by committees and task forces. Together, our leadership and staff of 15 work to advance the veterinary profession and strengthen the community we serve.

What You’ll Do:

We are seeking a detail-oriented and organized Accountant to join our collaborative and mission-driven team. In this role, you will play a key part in supporting the day-to-day financial operations of the Association, as well as its related Political Activities Committee and Foundation.

The Accountant supports core accounting and bookkeeping functions, helps ensure financial records are accurate and up to date, and assists with timely reporting. This role is well-suited for someone who enjoys working independently, managing multiple priorities, and contributing to a well-run organization behind the scenes. Strong attention to detail, sound accounting fundamentals, and a proactive, dependable approach are essential to success in this position.

Responsibilities Include:

· Maintains the bank ledger daily and reports low balance to the Finance Director

· Reconciles the bank ledger to AMS and other reports

· Processes CR, CD, AR, and AP in the accounting software

· Prepares Journal Entries and Account Reconciliations

· Maintains Vendor Maintenance in Sage 100 and processes annual Forms 1099NEC and 1099MISC

· Back up the Finance Coordinator and Director of Finance

· Verify completeness of invoices, obtain necessary approvals, and ensure proper documentation.

· Balance payables batch and prepare reports for review.

· Print checks, record check details on the manual check register, and maintain reimbursement records.

· Manage A/P files, reports, and ensure proper storage of documents.

· Work cooperatively with other departments

· Receive, verify, and process payments for dues, registrations, exhibitor payments, sponsorship invoices, etc.

· Enter payments in the database, balance batches, and post invoices.

· Handle web orders, ensuring proper processing, and reconciling database and payment gateway reports.

· Generate, run, and print invoices for dues billing.

· Prepare for onsite registrations, including equipment setup and attendee assistance.

· Process onsite payments, run settlement reports, and ensure accurate database entries.

· Perform bank reconciliations

· Update budget details, ensuring accuracy and proper documentation.

· Create shipping packages for mailings as needed.

· Other duties as assigned

What We’re Looking For:

· Bachelors degree in Accounting preferred or equivalent experience

· Strong organizational skills with attention to detail and ability to multitask

· Excellent written and verbal communication skills

· Proficiency with accounting and business software, including Sage 100, QuickBooks, Adobe, Microsoft Teams, and Microsoft Office

· A minimum of two years of experience working with Sage 100; experience with Association Management Software is strongly preferred

Work Environment & Travel:

  • Primarily office-based with frequent digital communications
  • Minimal travel required; primarily within California for CVMA weekend events.
  • Must be able to sit for extended periods, stand/walk during events, and lift up to 15 lbs as needed

Pay: $27.00 - $32.50 per hour
