We are seeking a professional and organized Accountant Receptionist to join our team. This role is essential in maintaining smooth office operations, providing excellent customer service, providing administrative and clerical support to our internal team, and clients. While also performing fundamental accounting tasks, such as data entry, accounts payable/receivable, and filing. The ideal candidate will possess strong communication skills, proficiency in office management tools, and the ability to handle multiple responsibilities efficiently.
Duties
- Greet visitors, answer, screen, and forward incoming phone calls, and manage a multi-line phone system
- Schedule appointments, meetings, and manage calendars for staff using Outlook
- Perform data entry, filing, and maintain accurate records using Thomson Reuters and Microsoft Office applications
- Assist with billing, bookkeeping, and basic administrative tasks including proofreading documents
- Support customer service efforts by responding to inquiries via phone, email, or in person
- Handle incoming correspondence, manage office supplies, and ensure the organization of office files
- Provide support as a personal assistant when needed, including calendar management and task prioritization
- Maintain a professional appearance and uphold excellent phone etiquette while supporting office operations
- Ensure the reception area is tidy, organized, and presentable
- Manage incoming and outgoing mail, courier services, and deliveries
- Post customer payments to accounts, and assist in generating invoices
- Maintain accurate, confidential, and organized financial files
- Monitor inventory and order office supplies
Qualifications
- Proven experience in an office environment, clerical work, or as a receptionist (tax and/or accounting reception experience is REQUIRED)
- Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook), Thomson Reuters (Practice CS, File Cabinet CS, and Accounting CS) and experience with accounting software (e.g., QuickBooks Online)
- Familiarity with multi-line phone systems and office management software as in Outlook
- Excellent organizational skills with attention to detail and accuracy in proofreading and data entry tasks
- Exceptional customer service skills with a friendly demeanor and professional phone etiquette
- Ability to handle multiple tasks efficiently while demonstrating strong time management skills
- Ability to prioritize tasks, manage multiple projects, and work under pressure in a fast-paced environment
- Previous experience in bookkeeping or administrative support roles is REQUIRED
- High School diploma or equivalent required; Associate degree in Accounting, Business, or Office Administration is highly preferred
- 1-3 years of experience in a receptionist, administrative, or accounting support role
