Accountant/Office Administrator

We are looking for an accounts manager with office administration assistance.

This job can be flexible and part time to full time depending on the amount of work taken in. Pay will be based on experience. Can be part time seasonal to full time year round work.

NOTE: Located In Minot ND .

Qualifications:

  • Higher level accounting and tax preparation
  • Proficient in Quickbooks, Google workspace, Excel, Meet, Zoom etc.
  • 1-3+ years experience performing office, administrative, or general operational functions to support management
  • Ability to write clearly and help with word processing when necessary
  • Warm personality with strong written and verbal communication skills; strong spelling, grammar, and punctuation
  • Exceptional organizational skills, ability to prioritize, and comfortable working independently
  • Capable of handling sensitive information and ensuring security protocols set by management are adhered to
  • Capable of driving with a valid driver's license

Responsibilities:

Wider Responsibility

  • Overseeing clerical tasks such as swiftly responding and categorizing emails, vendor communication, tax preparation, payroll and employee organization/HR responsibilities
  • Providing dynamic assistance within the company to all employees, jobs, customers, and management/ Full office support.
  • Performing any tasks as needed according to responsibility matrix as updated by management any time
  • Ensuring all office security protocols set by management are adhered to by any party
  • If applicable: maintaining the office and common area by keeping clean and organized
  • Running errands including but not limited to store runs, getting lunch, running tools to job sites
  • Where approved by management, outsourcing services to automate and to streamline, and to manage the continuous execution of such services (e.g., periodic cleaning, etc.)

Digital Business Operations

  • Creating, maintaining, and entering information into Google Drive especially ensuring digital versions of physical artifacts exist where possible
  • Scheduling meetings with relevant invitees on a proactive basis to push completion of outstanding tasks
  • Entering all bills/invoices into Quickbooks or relevant authorized system
  • Keeping an inventory of office supplies and ordering new materials as needed
  • Ensuring all digital/account security protocols set by management are adhered to by any party

Human Resources

  • Performing human resources functions and supporting joiners/movers/leavers activity and paperwork

Internal and External Communications

  • Answering business phone calls and returning messages, processing them into the call log as needed
  • Welcoming visitors into the office
  • Communicating or enforcing company standards with employees with management awareness
  • Communicating with customers or third parties to support operations, including sales or check collections

Sales Management

  • Inputting/updating all leads or other relevant contacts into CRM
  • Creating proposals with management support and sending them to leads and others as needed

Job Scheduling, Logistics, and Reservations

  • Ensuring Daily Tracker and time tracking facilities are kept up to date on a daily basis with scheduling
  • Ensuring time logs are accurate and otherwise following up with management and employees to resolve
  • Organize travel, accommodation, and reservation needs as required by management or employees

Accounting and Finance

  • Ensuring all bookkeeping is kept up to date in cooperation with management and contracted experts
  • Maintaining bank account and transferring funds to relevant parties following management instructions
  • Sending or processing invoices to ensure company cash flow is sustainable under management direction

Operational Workflow Integration

  • Ensuring Daily Tracker, Call Log, Buildertrend, TSheets, Quickbooks, Asana, and other artifacts are synchronized on a daily basis
  • Requesting management support to unblock any workflow issues

General Job Expectations:

  • Meet onboarding goals set by management
  • Take initiative to acquire company information and enforce established processes
  • Escalating blockers or risks to management where needed to maintain efficient operations
  • Attend planning and coordination sessions with relevant team members on phone calls or online meetings
  • Sharing the screen to support management team members
  • Continuously accelerating quality of work in alignment with management expectations
  • Take on other operational duties as assigned

Job Types: Full-time, Part-time, Contract, Temporary

Pay: $23.00 - $45.00 per hour
