Accounting and Administrative Associate – Full-time Position

The United Way of Washington and Greene Counties is seeking a dynamic individual to join its Administrative Team as an Accounting and Administrative Associate. This full-time position is ideal for an experienced individual who has the desire to contribute to advance its mission and plays a key role in the efficient management of fiscal duties.

Recently, this United Way was the result of a merger of Greene County United Way and the United Way of Washington County bringing close to 150 years of serving both communities. Its mission is to unite people, resources and organizations to improve lives in Washington and Greene Counties. This nonprofit organization advocates priority issues to help make the greatest difference by bringing partners together to allow individuals and families to achieve their human potential through education, financial stability and healthy lives.

Reports to: Executive Director

Overview: The Accounting and Administrative Associate is responsible for managing finance and administration functions in conjunction with the Finance & Administration Director. These tasks include but are not limited to managing the general ledger, accounts receivable and payable, donor database and all related reporting functions, customer relations and Workplace Giving Campaign administration.

Duties and Responsibilities:

This individual will be responsible to accurately maintain and ensure the accountability and accuracy of the revenue, expenses, accounts receivable, accounts payable, and grant payments to partner nonprofits.

· A vital responsibility of this position is to manage the current pledge processing system and donor database, including campaign data entry all the while maximizing the software’s capabilities.

· Preparation of monthly financial statements and monitoring checking account balance and investments.

· Involvement in preparation of annual budget and coordination of annual audit ensuring that auditor has all information needed for completion.

· Manage and submit required reports for United Way Worldwide.

· Maintain and update donor records, managing the donor designations process.

· Generate Workplace Giving Campaign summary reports.

· Respond promptly to donors and partner nonprofits’ questions.

· Monitor and provide appropriate follow-up to minimize uncollected pledges.

· This role also manages the day-to-day administration duties including management of the office space by communicating with landlord and other related duties.

Qualifications:

· Bachelor’s degree in accounting, business or related field; a minimum of an associate degree.

· A minimum of three years or more experience, preferably in nonprofit administration required.

· Proficiency with Quick Books and Microsoft Office Suite.

· Knowledge of the efficient use of a donor management database, preferably with experience with Donor Tracker or willingness to learn it.

· Excellent organizational, financial, analytical, communications, and computer skills.

· Attention to detail and a willingness to work both independently and as part of a team.

· Ability to maintain confidentiality.

· Must be able to adhere to a background check including a credit report.

· Must have a valid state driver’s license along with reliable transportation and the ability to travel for business using personal vehicle. Proof of vehicle insurance & current registration are required upon hiring.
