Accounting Clerk/Administrative Assistant

Job Overview
We are seeking a dynamic and detail-oriented Accounting Clerk/Administrative Assistant to join our finance team. This role offers a unique opportunity to support both accounting operations and administrative functions within a fast-paced environment. The ideal candidate will be energized by managing financial data, ensuring accuracy in record-keeping, and providing exceptional administrative support to facilitate seamless business processes. Your expertise will help uphold compliance standards such as GAAP (Generally Accepted Accounting Principles) and SOX (Sarbanes-Oxley Act), while utilizing advanced financial software tools to enhance efficiency.

Duties

  • Perform data entry and maintain accurate records using accounting software such as QuickBooks, Xero, Sage, or Workday.
  • Assist with accounts payable and receivable processes, ensuring timely invoice processing and payment reconciliation.
  • Conduct balance sheet reconciliations, account analysis, and general ledger entries to ensure financial accuracy.
  • Support payroll management activities using systems like ADP, Paychex, Kronos, or UltiPro, including processing payroll and verifying employee hours.
  • Prepare journal entries, perform account reconciliations, and assist with month-end closing procedures in accordance with GAAP standards.
  • Manage administrative tasks such as filing, correspondence, scheduling meetings, and supporting internal audits or compliance reviews.
  • Collaborate with the finance team on budgeting, tax preparation, and financial reporting activities for governmental or non-profit accounting environments.

Experience

  • Proven experience in corporate accounting or governmental accounting environments with a strong understanding of financial concepts.
  • Hands-on experience with accounting software such as QuickBooks, Xero, Sage, PeopleSoft, Ceridian, or similar platforms.
  • Familiarity with payroll systems including ADP, Paychex, Kronos, or UltiPro is highly desirable.
  • Knowledge of SOX compliance requirements and technical accounting principles is a plus.
  • Strong skills in data entry, double-entry bookkeeping, account reconciliation, and balance sheet analysis.
  • Basic proficiency in math and financial analysis techniques such as credit analysis and budgeting.
