Accounting Specialist

GENERAL DESCRIPTION: This is a high-volume position that is responsible for maintaining current & accurate Accounts Payable and Accounts Receivable accounts for a new program. The ideal candidate will have accurate data entry skills, high attention to detail, strong oral and written communication skills, and experience researching and resolving billing discrepancies. In addition, the candidate must have excellent organizational skills and must be able to follow through on open items and prioritize accordingly. Must be able to work well independently and in a team. 3-5+ years of accounting experience is required with strong Microsoft Office skills. Experience in QuickBooks preferred. Must be able to work in a high-volume environment.

RESPONSIBILITIES:

  • Review customer online portal to ensure timely receipt of payments on multiple accounts & post payments in the accounting system. Address and resolve past due invoices as well as discrepancies in payments and/or billing. Email invoices daily to correct contacts based on customer projects.
  • Process vendor inventory bills, matching it to receipts in the inventory program. Address and resolve discrepancies.
  • Maintain accurate vendor records in the accounting system, review vendor statements, and resolve any discrepancies.
  • Maintain Excel spreadsheets containing various customer & vendor data (Customer invoices, customer credits, payments scheduled, vendor bills).
  • Calculate weekly payments to vendors.
  • Assist with reconciliations for month-end close.
  • Process/post non-inventory bills, record payments, and attach pdf copies of bills in the accounting system.
  • Confirm the accuracy of employee expense reports.
  • Maintain current fleet inventory records of company-owned vehicles including purchases, renewals, and sales. Obtain registration & title for new vehicles and renew expiring registrations. Keep updated records of vehicle leases, calculate and pay quarterly taxes on vehicles. Communicate with the insurance company on vehicle status changes throughout the year and at policy renewal.
  • Work with HR on monthly employee benefit bills, reconciliations to accounting records, and invoicing out to related entities.
  • Post payroll entries in accounting system.
  • All other duties as assigned.

QUALIFICATIONS:

  • 3-5+ years of accounting experience

PHYSICAL REQUIREMENTS:

  • Ability to see and read documents
  • Ability to sit or stand at a desk 100% of the day.

TRAVEL REQUIREMENTS: This role may require local and international travel. Employees must have and maintain active copies of all necessary paperwork for travel locally and internationally.

Job Type: Full-time

Pay: $64,000.00 - $70,000.00 per year
