POSITION DESCRIPTION

Position Title: Accounting Supervisor
Reports To: Finance Director
Department: Administration / Finance


POSITION SUMMARY

The Accounting Supervisor is responsible for supporting the financial operations of Lake Family Resource Center by assisting with the coordination and oversight of daily accounting activities. Working under the direction of the Finance Director, the Accounting Supervisor collaborates closely with the Accounts Payable Specialist and other staff to ensure the accurate and timely processing of financial transactions, payroll administration, financial reporting, and compliance with applicable financial regulations.

This position assists with the management of accounts payable, accounts receivable, payroll processing, maintaining schedules and account reconciliations, and general ledger activities while maintaining accurate financial records and supporting internal financial controls. The Accounting Supervisor also serves as a liaison between the accounting department and internal program staff as well as external partners including vendors, funders, auditors, and financial institutions.

Lake Family Resource Center is a nonprofit organization supported by multiple federal, state, and local funding sources. As such, this role requires familiarity with nonprofit fund accounting practices and the ability to maintain financial records in accordance with grant and regulatory requirements.

ESSENTIAL FUNCTIONS

Accounting & Financial Management

  • Assist in coordinating daily accounting operations including accounts payable, accounts receivable, payroll, cash flow forecasting and general ledger activities.
  • Work collaboratively with accounting staff to compile, review, analyze, and report financial data.
  • Prepare and maintain journal entries and other general ledger transactions to ensure accurate financial reporting.
  • Assist with the preparation of monthly, and annual financial reports, budgets, and supporting documentation.
  • Monitor and reconcile financial transactions to ensure accuracy and completeness.
  • Identify, investigate, and resolve discrepancies in financial records or accounting reports.
  • Maintain accurate financial records using the organization’s accounting and bookkeeping systems.
  • Assist with financial audits, tax preparation, and compliance reviews as requested.
  • Ensure accounts payable obligations are processed in a timely manner and accounts receivable are appropriately tracked and collected.
  • Assist in maintaining internal financial controls and procedures to safeguard organizational assets.
  • Ensure compliance with organizational policies as well as applicable local, state, federal, GAAP and grant-related financial regulations.
  • Serve as a liaison between the accounting department and internal staff, providing guidance and support regarding financial processes and procedures.
  • Communicate with external parties including vendors, contractors, auditors, funders, and financial institutions as necessary.

Payroll Administration

  • Compile payroll data including employee hours worked, benefit deductions, tax withholdings, and other payroll-related information.
  • Review employee timesheets and supporting documentation to ensure accuracy and completeness prior to payroll processing.
  • Process payroll in accordance with established payroll schedules, including wages, tax withholdings, benefit deductions, and direct deposit transactions.
  • Review payroll calculations to ensure accuracy and correct any discrepancies or errors prior to payroll submission.
  • Collaborate with HR to maintain and update payroll records including employee status changes, tax exemptions, insurance deductions, and other payroll adjustments.
  • Ensure payroll processes comply with applicable federal, state, and local payroll tax regulations.
  • Maintain payroll documentation and records in accordance with organizational record retention policies.
  • Assist the Finance Director in resolving payroll discrepancies or employee payroll inquiries as needed.

Organizational Support

  • Participate in at least one outreach or community engagement event annually to support the mission and public awareness of Lake Family Resource Center.
  • Assist with internal financial process improvements and implementation of updated accounting procedures when needed.
  • Provide general support to the Finance Director in maintaining effective financial operations within the organization.
  • Perform other duties as assigned.

POSITION SPECIFICATIONS

Education & Experience

  • Bachelor’s degree in Accounting, Business Administration, Finance, or a related field preferred.
  • Minimum of two years of accounting, bookkeeping, or related financial management experience required.
  • Experience working in nonprofit or fund accounting environments is strongly preferred.
  • Additional directly related education or experience may be substituted for formal education requirements.

Knowledge, Skills, and Abilities

  • Strong understanding of accounting principles and financial reporting practices.
  • Knowledge of payroll processing procedures and payroll tax compliance requirements.
  • Ability to maintain accurate financial records and perform detailed financial analysis.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Ability to work independently while maintaining strong collaboration with team members.
  • High level of integrity, accuracy, accountability, and confidentiality.
  • Strong attention to detail and problem-solving abilities.

COMPUTER SKILLS

  • Proficiency in word processing and spreadsheet software.
  • Experience with accounting software systems and general ledger management.
  • Familiarity with payroll processing systems.
  • Experience with accounts payable and accounts receivable tracking systems.
  • Ability to utilize database and financial reporting software.

COMMUNICATION REQUIREMENTS

  • Frequent telephone and in-person communication with staff, vendors, and external partners to share information and coordinate financial processes.
  • Preparation of written correspondence, reports, and financial documentation.
  • Ability to effectively present financial information and respond to questions from staff, management, or external partners.

LANGUAGE SKILLS

Ability to read, analyze, and interpret professional journals, technical procedures, financial reports, and governmental regulations. Ability to prepare written reports, business correspondence, and procedural documentation. Ability to communicate clearly and effectively with internal staff and external partners.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts including percentages, interest, proportions, and financial allocations. Ability to apply mathematical concepts relevant to accounting and financial analysis.

REASONING ABILITY

Ability to analyze financial information and resolve practical problems involving multiple variables. Ability to interpret instructions provided in written, oral, or procedural formats.

COMPENSATION

$25.75 – $27.00 per hour (DOE)
