We are seeking a detail-oriented and organized Accounts & Admin Officer Intern to join our team. The individual will play a crucial role in supporting the financial operations of the organization by performing various accounting and administrative task.
Responsibilities:
- Accurately create and maintain QuickBooks company data. Understand the account and company setup steps and maintain a general knowledge of the major areas of the QuickBooks application and accounting. Export weekly/monthly backups of the QuickBooks company data.
- Be responsible for accounting functions such as AP/AR Grants reconciliations general journals etc.
- Process invoices from vendors and ensure timely payments. Verify accuracy and resolve discrepancies.
- Assist in monitoring and managing employee expenses. Verify receipts, track reimbursements, and reconcile expense reports.
- Conduct monthly bank reconciliations on the accounting software to ensure accuracy and identify discrepancies.
- Support the finance team in the preparation and monitoring of budgets.
- Generate and assist in preparing financial reports, statements, and summaries as required.
- Collaborate with auditors during internal and external audits. Provide necessary documentation and support to ensure a smooth audit process.
- Undertake special financial projects and assignments as directed by the Finance Manager or other senior staff.
- Ensure compliance with financial policies, procedures, and regulatory requirements.
- Communicate with vendors and clients regarding financial inquiries or discrepancies.
- Provide general administrative support to the organization.
- Manage office supplies and equipment.
- Assist in scheduling and coordinating meetings.
- Handle incoming calls, emails, and other communications.
- Collaborate with other departments to gather financial and administrative information.
- Communicate effectively with internal and external stakeholders.
- Assist in the preparation of reports and presentations.
- Taxation on IRIS and generation of challans.
Qualifications & Skills
- At least Bachelor’s degree in finance, Accounting, or a related field.
- Proven experience in finance or accounting roles (experience level may vary based on the position).
- Familiarity with accounting software (e.g., QuickBooks) Advanced MS Excel skills.
- Strong attention to detail and accuracy in data entry.
- Excellent organizational and time management skills.
- Effective communication skills, both written and verbal.
- Ability to work collaboratively in a team environment.
