Job Summary

The Accounts cum Customer Service Representative plays a dual role in handling both financial/ accounting tasks and customer service duties. This person ensures smooth operations of customer-facing interactions and accurate accounting / invoicing / billing processes related to shipments, services, and client accounts.

Key Responsibilities / Job Role

Customer Service Duties:

  • Act as point of contact for customers (internal & external) regarding inquiries about shipments, orders, delivery schedules, documentation, rates, etc.
  • Monitor shipment status, coordinate with operations/ logistics to ensure on‑time delivery and update customers proactively.
  • Assist customers with any issues or complaints, follow up until resolution.
  • Prepare and send quotations / service offers to customers when requested.
  • Liaise with freight forwarders, transport providers, customs, warehousing etc., to ensure documents are in order and operations proceed smoothly.
  • Track and follow up on customer payments, send reminders or invoices as needed.

Accounting / Accounts Duties:

  • Generate invoices, credit notes, and account statements for customers based on services rendered.
  • Process payments, record receipts, reconcile accounts receivable.
  • Follow up on outstanding receivables, escalations of overdue payments.
  • Ensure accounting entries are accurate and properly recorded (billing, invoicing, entries into accounting or ERP systems).
  • Assist in reconciling vendor / supplier invoices, verifying goods‐in reports, matching delivery notes with invoices.
  • Maintain customer accounts, ensure up‑to‑date records, documentation, filing.
