Job Summary:
The accounts payable specialist is responsible for managing and reconciling vendor invoices to ensure accurate and timely payment processing and expense control. This role works closely with internal departments and external vendors to resolve discrepancies and support efficient financial operations. As part of the accounting team, the position collaborates with the AP Team Lead to maintain smooth day-to-day accounts payable functions.
Duties/Responsibilities:
- Process weekly payments, including check runs and supporting documentation review.
- Main Contact for Cloud commissions. Creating new suppliers for Cloud, updating banking, reviewing accounts to make sure all information is accurate and follow standards.
- Processes Cloud commissions once a month. Prior to payout, review all data is accurate and up to date.
- Match purchase orders, bills of lading, and vendor invoices while resolving pricing or quantity discrepancies with vendors and purchasing teams.
- Manage vendor credit memos and reconcile outstanding balances in partnership with vendors and the RMA team.
- Monitor un-invoiced receipts reports and resolve related discrepancies.
- Maintain accurate payment records.
- Support accounts payable adjustments and assist the Controller as needed.
- Assist with month-end close activities.
- Maintain accurate vendor files, AP records, and expense requisition processing.
- Support audits, special projects, and general administrative tasks, including mail distribution.
- Help test and analyze the Oracle cloud platform as we transition over.

Required Skills/Abilities:
- Excellent verbal and written communication skills.
- An enthusiastic attitude to work with company employees and vendors.
- A team player that is detail oriented with the ability to prioritize and adapt in a fast-paced environment.
- Proficient in computer operations, showcasing expertise in ERP Systems, adept at Vendor Relationship Management, and possesses comprehensive knowledge of the Microsoft 365 Office Suite, including Outlook, Excel, and Word.
- Ability to understand the accounts payable systems and processes and assist with discrepancy resolution.
- Conducts duties and responsibilities in a moral, honest, and ethical manner.
Education and Experience:
- Minimum of 1 years’ experience in accounts payable or receivable preferred.
- Bachelor’s Degree preferred with some accounts payable or receivable experience.
- Experience working for a distribution company is a plus.
Travel:
- Ability to travel up to 5 percent of the time.
Physical Requirements: ( In compliance with ADA)
- Ability to sit at a computer terminal for extended periods of time.
- Ability to lift 10lbs.
- This position is essential, and the employee must be physically in attendance at their designated workstation at our headquarters’ location during normal business hours designated for this position.
- Ability to travel up to 5% percent of the time.
