Accounts Payable Analyst

The Accounts Payable Analyst is responsible for the accurate and timely processing of vendor invoices and payments while ensuring compliance with company policies and internal controls. This role requires strong analytical skills, attention to detail, and the ability to collaborate cross-functionally to resolve discrepancies and improve processes. The ideal candidate is proactive, organized, and committed to maintaining high levels of accuracy and service.

Duties and responsibilities

  • Process Inventory and Non-Inventory vendor invoices, ensuring accurate GL coding, three-way match verification, and proper approvals
  • Review, investigate, and resolve invoice discrepancies in a timely manner
  • Communicate professionally with vendors and internal stakeholders to address payment inquiries and resolve issues
  • Request, review and reconcile vendor statements to ensure completeness and accuracy
  • Post recurring vendor invoices and credit card transactions
  • Support month-end, quarter-end, and year-end close activities, including accruals and general ledger reconciliations
  • Assist with weekly payment runs and ensure timely vendor payments
  • Support monthly credit card reconciliations and receipt compliance
  • Maintain documentation in accordance with internal controls and audit requirements
  • Identify opportunities to improve AP processes and efficiency
  • Perform special projects and other duties as assigned

Qualifications

  • Associate’s degree in Accounting, Finance, or Business (Bachelor’s degree preferred)
  • 2-3 years of Accounts Payable or related accounting experience (or equivalent combination of education and experience)
  • Experience with ERP/accounting systems (e.g., SAP, Microsoft Dynamics, Netsuite) and iDocuments
  • Proficiency in Microsoft Excel, including formulas and VLOOKUPs (pivot tables a plus)
  • Strong understanding of three-way matching and reconciliation processes
  • Excellent mathematical, analytical and problem-solving skills
  • High level of accuracy and attention to detail
  • Strong interpersonal, written, and verbal communication skills
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment

Working Conditions

  • Full-time, onsite role based in the Lantana, FL corporate office.
  • Frequent movement throughout office
  • Extended hours may be required during peak event periods.

Physical requirements

  • Ability to lift and carry up to 10 lbs.
  • Standing, bending, and walking for extended periods during event setup and execution.
  • Manual handling of boxes, displays, and event equipment.
  • Ability to operate standard office equipment.

Pay: Up to $70,000.00 per year
