Accounts Payable Specialist

The Accounts Payable Specialist (Associate Level) is responsible for supporting the day-to-day accounts payable operations, ensuring timely and accurate processing of invoices, expense reports, and vendor payments. This role works closely with internal departments and external vendors to maintain strong relationships and ensure compliance with company policies and accounting standards.

Key Responsibilities

  • Process high-volume vendor invoices, ensuring accuracy, proper coding, and appropriate approvals
  • Perform three-way matching of purchase orders, receipts, and invoices
  • Prepare and process weekly check runs, ACH payments, and wire transfers
  • Review and process employee expense reports in accordance with company policies
  • Reconcile vendor statements and resolve discrepancies in a timely manner
  • Respond to vendor inquiries regarding payment status and account details
  • Maintain accurate and organized accounts payable records and documentation
  • Assist with month-end close activities, including accruals and account reconciliations
  • Ensure compliance with internal controls, policies, and procedures
  • Support audits by providing requested documentation and reports

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred
  • 1–3 years of experience in accounts payable or general accounting
  • Basic understanding of accounting principles and financial processes
  • Experience with ERP systems (e.g., SAP, Oracle, NetSuite, or similar)
  • Proficiency in Microsoft Excel (e.g., data entry, basic formulas, sorting/filtering)
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Effective communication and interpersonal skills

Preferred Skills

  • Experience with automated invoice processing systems
  • Familiarity with expense management tools (e.g., Concur, Expensify)
  • Knowledge of 1099 reporting requirements
  • Exposure to month-end close processes
