Position Summary We are looking for an experienced Part-Time Accounts Payable Specialist to join our team in a hybrid capacity which allows some opportunities to work from home. This flexible position is perfect for a detail-oriented professional who enjoys managing vendor relationships and ensuring accurate, timely financial processing in a supportive small-business environment. The role requires 25-30 hours per week, with scheduling flexibility to accommodate your personal needs while aligning with business requirements.
Key Responsibilities
  • Process vendor invoices and bills accurately and efficiently using QuickBooks Online Advanced.
  • Track purchase order status from issuance through receipt and payment.
  • Receive and verify incoming orders against purchase orders and packing slips.
  • Calculate, prepare, and pay all applicable taxes, including sales tax, use tax, property tax, and quarterly estimated taxes.
  • Manage workers’ compensation insurance reporting, payments, and renewals.
  • Reconcile and verify employee credit card accounts and transactions monthly.
  • Maintain up-to-date vendor information, including W-9s, contact details, payment terms, and certifications.
  • Update product pricing in the system as directed.
  • Prepare and process employee expense reports for reimbursement.
  • Ensure timely payments to vendors while optimizing cash flow and taking advantage of available discounts.
  • Assist with accounts payable reporting, month-end close tasks, and vendor inquiries as needed.
Qualifications and Requirements
  • Minimum 3 years of hands-on experience in accounts payable, preferably in a small business or similar setting.
  • Advanced proficiency in QuickBooks Online (Advanced edition required) – must be comfortable with bill entry, vendor management, purchase orders, expense tracking, reconciliations, tax payments, and reporting features.
  • Strong knowledge of accounts payable processes, including invoice processing, purchase order matching, vendor reconciliations, expense reports, and tax compliance.
  • Experience preparing and filing various business taxes (sales/use, property, estimated) is strongly preferred.
  • Excellent attention to detail, strong organizational skills, and high accuracy in data entry and financial processing.
  • Professional communication skills for vendor and internal team interactions (phone, email).
  • Ability to work independently in a remote environment while meeting deadlines and maintaining confidentiality.
  • Experience in medical equipment, healthcare, or related industries is a plus but not required.
  • Bachelor’s degree in accounting, business, or related field preferred.
Schedule and Work Arrangement
  • Part-time: 20-25 hours per week.
  • Hybrid role comprised of both on-site and remote/work-from-home hours.
  • Flexible scheduling to fit personal needs, with core availability during standard business hours.
