Position Summary

The Accounts Receivable Specialist is responsible for processing job ticket entries, generating and reconciling customer invoices, ensuring the accurate and timely delivery of invoices, and maintaining financial records. This role requires strong attention to detail, organizational skills, and the ability to collaborate with internal teams to ensure smooth billing operations


Essential Duties and Responsibilities

  • Accurately enter job tickets into the system for billing purposes.
  • Generate and process invoices, ensuring accuracy and completeness.
  • Reconcile customer invoices, addressing discrepancies as needed.
  • Ensure timely and accurate invoice delivery to customers through appropriate channels.
  • Maintain detailed and accurate financial records related to accounts receivable transactions.
  • Assist with customer inquiries related to billing and payments.
  • Work closely with internal departments to verify job details and resolve invoicing issues.
  • Support process improvements related to billing and accounts receivable functions.
  • Assist in month-end closing procedures and reporting as required.


Education and Experience

Required

  • High school diploma or equivalent.
  • Proficiency in Microsoft Excel and data entry systems.
  • Strong attention to detail and accuracy in financial record-keeping.
  • Ability to work independently, manage time lines and deliverables, and multi-task effectively.
  • Strong problem-solving skills and knowledge of basic accounting principles.

Preferred

  • Associate’s degree in Accounting, Finance, or a related field.
  • 1+ years of experience in accounts receivable, billing, or a similar role.
  • Experience with Salesforce and Netsuite.

Job Demands and Work Environment

  • Frequent walking, standing, and sitting for extended periods.
  • Occasional lifting and moving of equipment up to 10 lbs.
  • Ability to work in industrial environments, including exposure to loud noise, heavy machinery, and potential environmental hazards.
  • Use of Personal Protective Equipment (PPE) as required.
  • Ability to manage multiple priorities under deadlines, analyze operational challenges, and make high-stakes decisions.
  • Strong problem-solving skills and ability to adapt to rapidly changing environments
  • Travel required, including overnight stays as needed
