We are currently looking for an Admin & Accounts assistant whose job description includes performing both administrative tasks like managing office correspondence and filing, and accounting tasks such as processing invoices, data entry, and maintaining accounts payable and receivable. This role provides crucial support to the finance and administration teams, ensuring the smooth and accurate functioning of daily operations and financial record-keeping.

Key responsibilities

Administrative duties

  • Office management: Handle daily office operations, manage office supplies, and ensure procedures are efficiently implemented.
  • Communication: Manage phone calls, emails, and other correspondence.
  • Document management: File, organize, and maintain important documents, client files, and legal documents.
  • Scheduling: Schedule appointments and manage deadlines for the department.

Accounts and finance duties

  • Data entry: Record and process financial and accounting data.
  • Accounts payable/receivable: Collect payments, process invoices, and ensure timely payment of bills.
  • Financial records: Maintain accurate financial records and bookkeeping.
  • Reporting: Assist with the preparation of financial reports, expense reports, and basic financial statements.
  • Reconciliation: Perform account reconciliations to ensure accuracy.
  • Compliance: Ensure all financial transactions comply with company policies and procedures.
