Job Description

Admin & Accounts Executive is responsible for providing administrative support, and accounts management support. This role requires excellent communication skills, organizational abilities, and a highly motivated individual to represent the company in a professional manner.

Key Responsibilities:

1. Administrative Support: - Handle correspondence, emails, and filing systems. - Manage office supplies and inventory. - Assist in preparing reports, presentations, and documents as required. - Coordinate meetings, appointments, and travel arrangements. - Assist with Administrative tasks such as scheduling appointments, flight booking for staff, hotel or accommodation bookings as per the Travel Policy, support all the Department heads and supporting staff as needed.

2. Office Maintenance: - Liaise with vendors and service providers for office maintenance and utilities. Coordinate with security, maintenance team / vendors as required to ensure smooth functioning of the organization takes place.

3. Support Administrative Tasks: - Assist HR with onboarding processes and employee records. - Support other administrative functions as needed. - Perform other clerical duties as assigned within given timeline - Maintain records of in-out courier packages. - Assist in drafting and managing internal and external communication. - Coordinate and schedule meetings, appointments, and corporate events. - Prepare and review correspondence, reports, presentations, and other documents.

4. Additional Responsibilities: - Monitor security procedures and ensure safety protocols. - Support team members with administrative tasks as required. - Ensure security protocols are followed by verifying the visitors’ identities, business card or coordinating with security personnel. - Maintain records and confidentiality of all the corporate info and visitors’ data. - Support administrative tasks related to company registrations, renewals, and licenses. - Maintain office supplies and equipment, ensuring operational readiness. - Assist in coordinating audits, compliance documentation, and other corporate governance activities.

5. Financial Responsibilities: - Make sure all the admin related vendors invoices, payments are cleared before the due date and are properly documented in accordance to audit requirement. - Keep track of all the expenses related to the Admin and Front Desk. - Liaise with vendors, service providers, and external partners as required. - Ensure compliance with company policies, procedures, and regulatory requirements.

Candidate shall be proficient in the Tally software.

The Accounts & Admin Executive is responsible for handling a variety of accounting and administrative tasks, including billing, invoice management, expense tracking, and compliance coordination. The role requires strong attention to detail, organizational skills, and proficiency in accounting software.

Key Responsibilities:

  • Billing and Invoicing: Generate proforma and tax invoices, manage payment entries, and ensure accurate communication with clients.
  • Purchase Bill Management: Verify and book purchase bills, manage vendor communications, and follow up for approvals and payments.
  • Expense Management: Process expense vouchers, handle travel and car running expenses, and manage reimbursements for company employees.
  • Attendance and Compliance: Monitor employee attendance, prepare monthly summaries, and coordinate with external accounting firms for compliance-related filings.
  • Upload payments via the banking system for authorized signatories to approve.
  • Manage accounts closing, GST submission and various tax related claims.
  • Visitor Management: Managing Office Visits of Various Categories of Visitors such as Interviewees, Clients, Auditors, etc. Making sure they are provided proper Attention and Hospitality by the teams.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field
  • Proficiency in accounting software (e.g., SMPL ERP, QACPL ERP, Zoho Books)
  • Strong understanding of billing, invoicing, and compliance processes
  • Excellent communication and organizational skills
  • 2 to 3 years of experience in a similar capacity

Job Type: Full-time

Pay: ₹30,000.00 - ₹40,000.00 per month
