Admin Assistant

Job Purpose:

The Admin Officer is responsible for providing administrative and logistical support to ensure the smooth and efficient operation of the office. This role involves managing office supplies, coordinating with service providers, maintaining records, supporting HR and finance functions, and assisting in implementing company policies and procedures.

Key Responsibilities:1. Office Administration:

  • Manage day-to-day administrative operations and ensure the office runs efficiently.
  • Maintain office supplies inventory and place orders when necessary.
  • Check stationery and canteen supplies regularly and place orders as needed.
  • Oversee maintenance of office equipment, furniture, and facilities.
  • Coordinate with vendors and service providers (e.g., maintenance, cleaning, IT, travel agencies).
  • Manage incoming and outgoing correspondence, mail, and courier services.

2. HR & Employee Support:

  • Assist HR in maintaining employee records and personal files (both hard and soft copies).
  • Support in the preparation of documents related to new hires, transfers, and resignations.
  • Coordinate staff travel arrangements, visas, and accommodation bookings.
  • Help organize company events, training sessions, and meetings.

3. Documentation & Record-Keeping:

  • Maintain proper filing systems for administrative and confidential documents.
  • Prepare reports, memos, letters, and other official correspondence as required.
  • Ensure company documents, licenses, and contracts are renewed and up to date.

4. Compliance & Coordination:

  • Ensure compliance with company policies and administrative procedures.
  • Liaise with government authorities and external partners when required.
  • Support in audits by providing necessary administrative records and documents.

Qualifications & Experience:

  • Bachelor’s Degree in Business Administration, Management, or related field.
  • Minimum 3–5 years of experience in administration or office management.
  • Experience in HR or procurement support is an advantage.
  • Arabic and English Required

Job Type: Full-time

Pay: QAR4,000.00 - QAR6,000.00 per month
