Key Responsibilities1. Shipping & Logistics Documentation Support

  • Process and file critical shipping documents (bills of lading, waybills, customs declarations, delivery receipts) with 100% accuracy.
  • Assist dispatch teams in scheduling pickups/delays and updating customers on shipment status via phone/email.
  • Verify compliance with DOT (Department of Transportation) regulations, cross-border shipping rules, and company policies for all documentation.
  • Generate weekly reports on shipment volumes, documentation turnaround times, and customer inquiry resolution rates using MS Excel.

2. Office Administration & Operations

  • Manage calendars for the Office Manager and logistics team leads; coordinate internal meetings, client visits, and team training sessions.
  • Handle incoming phone calls, emails, and in-person inquiries; route requests to the appropriate team members and resolve minor customer admin issues independently.
  • Maintain digital and physical filing systems for customer accounts, vendor contracts, and regulatory compliance records.
  • Track and restock office supplies (including PPE for warehouse staff) and coordinate with vendors to ensure timely deliveries.

Required

  • High school diploma or GED; Associate’s degree in Business, Logistics, or a related field is preferred.
  • 1–2 years of administrative experience, with prior exposure to logistics, shipping, or transportation operations strongly preferred.
  • Proficiency in MS Office Suite (Excel for data entry/reports, Word for documentation, Outlook for correspondence).
  • Strong verbal and written communication skills to interact with cross-functional teams and customers.
  • Exceptional attention to detail and ability to manage multiple competing tasks in a fast-paced environment.
  • Basic understanding of shipping documentation (bills of lading, waybills) and compliance regulations.
