As an Administrative Assistant, you will play a key role in supporting company leadership and ensuring daily operations run smoothly. You'll also be part of the Data Support Team, gaining hands-on experience with internal systems and vendor platforms.
Key Responsibilities:
Support executive leadership with scheduling, meeting coordination, and note-taking
Manage incoming/outgoing mail, bank deposits, and occasional local errands (mileage reimbursed)
Retrieve and track vendor invoices and supporting documentation
Maintain detailed Excel spreadsheets to track purchase orders, missing invoices, and backorders
Research vendor portals to locate missing data and documents
Reconcile client orders within the company's software platform
Communicate and collaborate with internal teams and offshore data analysts
Assist with additional administrative and operational tasks as needed
We're seeking someone who is highly organized, detail-driven, and eager to learn in a dynamic environment.
Preferred Qualifications:
Experience or exposure to the healthcare industry is a plus
Advanced proficiency in Microsoft Excel (this is critical to success in the role)
Strong comfort working in digital environments (online systems, vendor portals, research)
Experience with Outlook/email management and organization
