As we evolve from a services-oriented model to a product-driven platform, our new, purpose-built hub in Whitefield, Bengaluru is becoming the strategic heartbeat of Konovo.

We are looking for an Admin Executive who will shape an environment where brilliant people can do the best work of their careers. This 5 day a week in-office, Whitefield, Bengaluru position is not a reactive, back-office role. You will be the connector who unblocks teams, blends people-first programs with business priorities, and turns our beautiful workspace into a productivity accelerator.

How You'll Make an Impact:

  • Facilitate and manage end-to-end administrative processes to support business operations, including office management, travel and logistics, event coordination, employee onboarding, vendor and contract management, and finance/procurement support.
  • Act as the face of the organization by operating the front desk, creating a professional first impression for all clients, partners, and visitors, and ensuring a positive brand experience from the moment they step into the office.
  • Architect an unmatched employee experience – Collaborate with HR team to deliver end-to-end onboarding, off-boarding, and milestone moments for our India team, ensuring every interaction deepens engagement and accelerates time-to-productivity. Prepare welcome kits, ID cards, and desk setups so new hires are operational from Day 1.
  • Own our "office as a platform" – Act as the primary liaison with the managed service provider, building management, and service vendors. Leverage tools such as IoT devices, desk-booking systems, and workplace analytics to optimise space usage, reduce costs, and enhance the employee experience. Ensure facilities, housekeeping, and maintenance services run seamlessly.
  • Enable rapid execution – Identify and resolve process bottlenecks across HR, IT, Facilities, and Finance. Propose data-driven improvements, automate workflows (e.g., self-service knowledge base, chatbot ticketing), and measure efficiency gains.
  • Champion culture & belonging – Curate inclusive programs—recognition rituals, team events—that connect and inspire our hybrid, in-person workforce. Coordinate celebrations, team offsites, and cultural events for the Bengaluru office.
  • Ensure operational excellence – Manage calls, emails, and messages, routing them promptly to the right contacts. Maintain accurate visitor logs, issue and manage access/ID cards, arrange travel and accommodation, and ensure couriers are distributed or dispatched without delay
  • Travel within the city for obtaining signatures, document verification, bank/vendor visits, and official submissions.
  • Act as the first point of contact for external vendors, ensuring effective coordination and timely execution of deliverables.
  • Implement and uphold company admin policies related to domestic and International travel, procurement, facility, and vendor management

What We're Looking For:

  • A proactive, tech‑savvy administrative professional with 2-5 years' experience in administration, employee experience, vendor management or workplace operations.
  • Strong negotiation, coordination, and organizational skills.
  • Excellent communication skills with the ability to handle external partners. Fluent (speaking, reading, writing) in English, Kannada and Hindi.
  • Flexibility to travel frequently within the city for business needs.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Bachelor's degree in Business Administration/Commerce or equivalent experience in a related field.
  • Integrity, confidentiality, and problem-solving mindset.
