The Administrative Executive is responsible for overseeing daily administrative operations, including canteen services, office administration, inventory control, asset maintenance, safety, and security. This role ensures the smooth functioning of facility-related operations to support the organization’s productivity, safety, and compliance standards
Key Responsibilities

Canteen Management

Oversee daily operations of the company canteen to ensure hygiene, quality, and timely service.

Coordinate with canteen contractors/suppliers for food quality and stock management.

Monitor food safety and cleanliness as per FSSAI or relevant standards.

Handle feedback, complaints, and improvements in canteen services.

Office Administration
-
Manage front office, housekeeping, mail distribution, and clerical support.
-
Maintain records of attendance, leave, and support HR in admin-related functions.

Coordinate with vendors and service providers for office supplies and services.
-
Ensure compliance with organizational policies and administrative procedures.

Inventory Management
-
Maintain records of consumables, stationery, PPEs, cleaning supplies, and other items.

Monitor stock levels, raise purchase requisitions, and conduct physical stock audits.
-
Track inward/outward movement of administrative goods and materials.
-
Coordinate with the purchase team for timely procurement and delivery.

Office Asset Maintenance

Maintain an updated list of office assets (furniture, IT equipment, ACs, etc.).

Schedule preventive and breakdown maintenance for office equipment and infrastructure.

Coordinate with vendors and technicians for repairs and servicing.

Ensure proper tagging, documentation, and physical verification of assets.

Safety Management

Support the Safety Officer in implementing and maintaining safety protocols.

Conduct regular inspections to ensure compliance with health and safety standards.

Ensure availability of fire extinguishers, first-aid kits, and emergency signage.

Participate in safety drills and training sessions for staff.

Security Management

Supervise security personnel and ensure 24/7 site security.

Maintain visitor logs, gate pass systems, and employee access controls.

Ensure the functionality of CCTV cameras, biometric systems, and alarm systems.

Coordinate with security agencies and conduct periodic security audits.
Qualifications & Skills
-
Bachelor’s degree in Business Administration, Facility Management, or related field.
-
5+ years of relevant experience in administration or facility roles, preferably in a manufacturing environment.
