Key Responsibilities:

Financial Management

  • Manage day-to-day financial transactions of the project, ensuring accuracy, transparency, and strict compliance with donor requirements and LPP financial policies.
  • Maintain updated cashbooks, ledgers, and financial records as per donor and LPP standards.
  • Prepare monthly financial reports, bank reconciliations, and cash forecasts for submission to LPP Finance Manager and donor when required.
  • Ensure timely and accurate disbursement of payments (salaries, vendor payments, travel claims, distribution costs, etc.) in line with approved donor budgets.
  • Support the Project Manager in budget monitoring, variance analysis, and re-forecasting based on donor formats.
  • Ensure proper documentation of all financial transactions (MoVs, vouchers, invoices, receipts) as per donor and LPP audit standards.

Administrative & Logistical Support

  • Oversee procurement processes in strict adherence to donor and LPP procurement policies (quotations, bid evaluations, purchase requests, approvals).
  • Maintain updated records of procurement, assets, and inventory for Bahawalnagar office in line with donor requirements.
  • Coordinate logistics for project activities, including distributions, workshops, field missions, and donor visits.
  • Supervise support staff (drivers, admin staff) and ensure accurate vehicle logbooks, fuel records, and asset registers.
  • Ensure proper functioning of office facilities, equipment, and supplies, in compliance with LPP operational standards.

Compliance, Donor Documentation & Audit:

  • Ensure that all project financial and administrative records strictly follow donor and LPP compliance requirements.
  • Maintain comprehensive donor documentation files (procurement, payroll, MoVs, distribution costs, contracts) for audit readiness.
  • Support internal, external, and donor audits by providing accurate, complete, and timely documentation.
  • Monitor and enforce compliance with donor agreements, reporting formats, and LPP internal control systems.

Coordination & Reporting:

  • Provide financial and administrative updates to the Project Manager, with copies to LPP Finance Manager and Operations Manager.
  • Prepare and submit timely donor-compliant financial reports in coordination with LPP’s Finance Department.
  • Maintain regular coordination with banks, vendors, service providers, and LPP head office for payments and documentation.

Qualifications & Experience:

  • Master’s/Bachelor’s degree in Finance, Accounting, Business Administration, or related field.
  • Minimum 3–4 years of experience in finance and administration roles, preferably in humanitarian/development projects with donor-funded components.
  • Strong understanding of donor financial requirements, compliance standards, and documentation processes.
  • Proficiency in MS Office (Excel, Word) and accounting software.
  • Excellent organizational, analytical, and reporting skills.
  • Fluency in Urdu; working knowledge of English required for donor communication.
  • Prior experience in emergency/humanitarian response finance and donor reporting will be an advantage.
