Administration Assistant

JOB SUMMARY

Under general supervision, performs a wide variety of confidential secretarial and administrative duties. This includes all aspects of administrative support to the office, assisting the property management division in daily administrative needs, and providing assistance to the tenants, maintenance staff, contractors, etc. Attention to detail and ability to perform multiple tasks are essential. Ability to work independently required. Professional telephone and reception techniques required. High degree of organizational skills required.

ESSENTIAL FUNCTIONS

  • Work closely with CEO
  • Schedule and coordinate meetings with internal and external stakeholders
  • Work in conjunction with Business Operations Manager regarding weekly Vacancy meetings
  • Collaborate with Business Operations Manager regarding Accounts Receivable (AR) reports
  • Collaborate with CEO on Accounts Payable (AP) reports
  • Assist with preparation of budgets vs. actuals
  • Prepare agendas, take minutes, and follow up on action items during meetings with Owners, CFO, and/or Directors.
  • Organize periodic staff meetings and external business engagements
  • Assist with drafting and review correspondence, presentations, and reports for stakeholders.
  • Ensure policies and procedures are up-to-date and accessible.
  • Track and summarize updates to federal, state, and local housing regulations.
  • Help organize and track yearly property budgets for review.
  • Maintain contract databases and assist with negotiations.
  • Maintain resident confidentiality
  • Professional conduct and appearance at all times
  • Other duties as assigned.

QUALIFICATIONS

Knowledge: Correct English usage, grammar, spelling, punctuation, and arithmetic; modern office methods, procedures and equipment, and business letter and report writing; fundamental record keeping principles and procedures; receptionist and telephone techniques, and filing systems. Ability to work with diverse ethnic and low-income families in a professional manner. Skill to deal tactfully with a variety of people under constantly changing circumstances using tact and diplomacy. Capability to handle emergency situations and pressure due to complexity and time sensitivity

Skill: Following oral and written directions, working and interacting effectively with others, learning rapidly, and interpreting/applying laws, rules, and office policies and procedures. Typing accurately, communicating tactfully and effectively in both oral and written form; working independently in the absence of supervision. Analyzing situations

Education/Experience: Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:

1. Completion of the twelfth (12th) grade, supplemented by specialized secretarial courses; and

2. Knowledge of Property Management, LIHTC, HUD, Rural Development rules and regulations

PHYSICAL REQUIREMENTS

  • Ability to sit for long periods of time (6-8 hours a day)
  • Ability to lift 0-30 lbs.
  • Ability bend, kneel, reach, squat, sit, stand, and climb

Job Type: Full-time

Pay: $21.00 - $23.00 per hour
