Administration ExecutiveJob Summary
The Administration Executive is responsible for ensuring smooth day-to-day operations of the office by managing administrative tasks, coordinating office activities, and supporting internal teams. This role also involves occasional client interaction, including assisting in meetings, handling inquiries, and representing the company in a professional manner.
Key ResponsibilitiesAdministrative Duties
- Manage daily office operations, including filing, scheduling, and correspondence.
- Organize and maintain physical and digital records for easy retrieval.
- Prepare reports, meeting minutes, and other administrative documents.
- Coordinate office supplies inventory and place orders when necessary.
- Assist with travel arrangements, event planning, and staff scheduling.
- Support HR functions such as onboarding, documentation, and attendance tracking.
Client Interaction (Occasional)
- Welcome and assist clients visiting the office, ensuring a professional experience.
- Attend client meetings when required to provide administrative support.
- Handle incoming client inquiries via phone, email, or in person.
- Prepare presentation materials, documentation, or reports for client meetings.
- Maintain positive relationships with clients and provide prompt follow-ups.
Coordination & Communication
- Liaise with internal departments to ensure smooth workflow.
- Communicate schedules, updates, and administrative changes to staff.
- Support management with special assignments or operational projects.
Required Skills & Qualifications
- Diploma or Bachelor’s degree in Business Administration, Management, or related field.
- Proven experience in administrative or office support roles.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and office equipment.
- Professional demeanor and ability to interact with clients confidently.
- Attention to detail and problem-solving attitude.
