Administration & Finance Officer

Role: The Administration & Finance Officer plays a critical dual role within the organization, providing comprehensive financial management and administrative support to ensure smooth day-to-day operations. This position is responsible for maintaining accurate financial records, coordinating administrative functions, and contributing to the organization's operational efficiency and compliance.

KEY RESPONSIBILITIES

Financial Management

  • Maintain accurate books of accounts including general ledger, accounts payable, and accounts receivable
  • Prepare monthly, quarterly, and annual financial reports and statements
  • Manage budgeting, forecasting, and variance analysis processes
  • Process payroll, staff expense claims, and vendor invoices in a timely manner
  • Ensure compliance with tax regulations, statutory filings, and internal financial controls
  • Liaise with external auditors, banks, and regulatory bodies as required
  • Monitor cash flow and maintain accurate treasury records

Administration & Office Management

  • Oversee day-to-day office operations, supplies procurement, and facilities management
  • Maintain and manage organizational records, filing systems, and documentation
  • Coordinate meetings, travel arrangements, and correspondence for senior management
  • Draft, review, and distribute internal communications, reports, and memos
  • Manage contracts, vendor relationships, and service agreements
  • Support HR administrative functions including onboarding and personnel file maintenance
  • Ensure compliance with company policies and procedures across all administrative activities

QUALIFICATIONS & EDUCATION

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field (required)
  • Professional certification (CPA, ACCA, CMA, or equivalent) is an added advantage
  • Minimum 2–4 years of relevant experience in a finance and/or administrative role
  • Prior experience in a private sector company is preferred

SKILLS & COMPETENCIES

Technical Skills

  • Proficiency in accounting software such as QuickBooks, SAP, Sage, or similar ERP systems
  • Strong command of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Sound knowledge of bookkeeping principles, GAAP/IFRS standards, and financial reporting
  • Experience with payroll processing, tax computations, and statutory compliance
  • Familiarity with procurement processes and contract management

Soft Skills

  • High level of integrity, accuracy, and attention to detail
  • Strong organizational and time-management skills with ability to prioritize competing tasks
  • Excellent written and verbal communication skills
  • Ability to work both independently and collaboratively within a team environment
  • Proactive problem-solving approach and analytical mindset
  • Discretion and professionalism in handling confidential information

WORKING CONDITIONS

  • Standard office hours, Monday to Friday (flexibility may be required during reporting periods)
  • Occasional overtime during audits, budget cycles, or end-of-year financial close
  • Office-based role with possible travel for banking or regulatory purposes

Job Type: Full-time

Pay: Rs40,000.00 - Rs50,000.00 per month
