Key Responsibilities

Administrative & Operational Support

  • Manage daily administrative operations, including correspondence, documentation, record keeping, and filing systems.
  • Prepare and maintain official letters, reports, and documents in English and Arabic (where applicable).
  • Maintain hospital databases, staff rosters, and operational records.
  • Coordinate meetings, schedules, and travel arrangements.
  • Supervise and oversee the maintenance team.
  • Monitor and maintain office supplies, inventory, and stationery.

Human Resources & Compliance Support

  • Assist in onboarding new employees and maintaining accurate personnel files.
  • Support HR policies, attendance tracking, and leave management.
  • Ensure compliance with hospital policies, health and safety standards, and government regulations, including DED (Trade License), Dubai Municipality, MOCCAE, and other relevant authorities.
  • Liaise effectively with the HR Department.

Customer Service & Public Relations

  • Serve as the first point of contact for visitors and clients, maintaining confidentiality and professionalism.
  • Handle inquiries and facilitate communication between departments and external partners.
  • Supervise and support the Customer Service Team to ensure excellence in client relations and service delivery.

Reporting & Documentation

  • Prepare administrative and operational reports as required by management.
  • Assist in drafting management presentations, official correspondence, and operational summaries.

Qualifications & Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • High School Diploma or equivalent; candidates with relevant experience and a proven track record will also be considered.
  • 3–5 years of administrative experience, preferably in healthcare, veterinary, or government organizations.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills in English; proficiency in Arabic is an advantage.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and collaboratively within a multidisciplinary team.
  • Professional demeanour, discretion, and commitment to high ethical standards.
