Job Title: Administrative Assistant (Part-Time)
Location: Hinsdale, In-Office & Remote Hybrid
Schedule: Approximately 15–20 hours per week (3 hours/day in office + flexible remote hours)

We are a warm and welcoming pediatric therapy clinic dedicated to supporting children and their families. Our team values creativity, compassion, and collaboration. We’re seeking an Administrative Assistant who is organized, tech-savvy, and excited to support both our clinical team and families.

Role Overview

The Administrative Assistant will play a key role in keeping our clinic running smoothly. This position requires a blend of in-office support (+/3-4 hours/day) and flexible work-from-home hours. The ideal candidate will be detail-oriented, an excellent communicator, and comfortable using digital tools to support both administrative and creative tasks.

Responsibilities

  • Manage day-to-day administrative operations of the clinic.
  • Cleaning, organizing, maintaining the public areas.
  • Provide customer support by addressing client needs and resolving issues promptly.
  • Collaborate with team members to ensure smooth office operations.
  • Learn and manage our Electronic Medical Records (EMR) system for scheduling, billing, and documentation support.
  • Organize and maintain digital files using Google Suite (Docs, Sheets, Drive, Calendar, Gmail, etc.).
  • Create and update clinic communications, forms, and resources.
  • Support marketing and outreach by creating graphics in Canva and managing social media content.
  • Greet and support families during office hours, ensuring a welcoming environment.
  • Assist with special projects and events as needed.

Qualifications

  • Previous administrative experience (healthcare or therapy setting preferred, but not required).
  • Strong organizational and time management skills.
  • Proficiency with Google Suite.
  • Familiarity with Canva and social media platforms.
  • Comfortable learning new technology, including EMR systems.
  • Friendly, professional, and able to communicate clearly with families and staff.
  • Flexible, reliable, and able to work independently.
  • Strong typing skills with attention to detail for data entry tasks.
  • Demonstrated phone etiquette and customer service skills.
  • Strong computer skills, including familiarity with Google Workspace.
  • Previous office experience or clerical experience is preferred.
  • Excellent organizational skills and time management abilities.

  • Experience as a dental receptionist or medical receptionist is advantageous.
