We are seeking a proactive and detail-oriented Administrative Assistant to join our home healthcare team. The ideal candidate will play a crucial role in supporting daily operations by managing administrative tasks, providing excellent customer service, and ensuring the smooth functioning of the office environment. This position requires strong organizational skills, professionalism, and the ability to multitask effectively in a fast-paced healthcare setting.

Key Duties & Responsibilities

  • Manage front desk operations, including greeting visitors and handling inquiries.
  • Operate a multi-line phone system to direct calls and provide accurate information.
  • Perform data entry, filing, and clerical tasks to maintain organized records.
  • Utilize QuickBooks for basic bookkeeping and financial tracking.
  • Provide excellent customer support through effective communication and problem-solving.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Proofread documents for accuracy, clarity, and compliance before distribution.
  • Support office management by maintaining supplies, equipment, and vendor relations.
  • Maintain and organize employee files, ensuring all records are current, accurate, and confidential.
  • Track and renew expired staff documents (certifications, licenses, training records) to remain in compliance with state and agency regulations.
  • Collaborate with team members to streamline workflow and enhance efficiency.

Skills & Qualifications

  • Bachelor’s degree or higher in Business Administration, Healthcare Administration, or a related field (required).
  • Experience in home healthcare or healthcare administration strongly preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong computer literacy with experience in various office software applications.
  • Excellent organizational skills with a high level of attention to detail.
  • Effective typing and data entry skills.
  • Bilingual abilities are a plus for enhanced communication with diverse clients.
  • Previous experience as a healthcare receptionist is advantageous.
  • Familiarity with professional phone etiquette and customer service best practices.
  • Demonstrated administrative experience in an office setting is preferred.
  • Ability to manage time effectively while handling multiple priorities.
  • Experience as a personal assistant or in office management roles is beneficial.
  • Strong knowledge of file management and document compliance tracking is required.
