FRONT DESK RECEPTIONIST / ASSISTANT

The Office of the Hudson County Prosecutor is seeking a full time Receptionist / Front Desk Assistant.

DUTIES: Include, but are not limited to:

  • Answering multi-line telephone system;
  • Providing basic information to callers and visitors;
  • Directing telephone calls to the appropriate staff members;
  • Taking of and relaying of messages;
  • Greeting visitors and staff;
  • Notifying appropriate staff of the arrival of visitors;
  • Ability to create and maintaining various logs such as a visitor log and issuance/retrieval of visitor passes;
  • Coordinating communications, including taking & making calls, receiving, responding to and sending of emails;
  • Interfacing with the judiciary, the legal community, members of the public and staff members;
  • Monitoring front desk and stairwell entrance/exits;
  • Ensuring Front Desk is current with all directories & schedules;
  • Receiving, opening, sorting, time-stamping and distributing of mail, deliveries and faxes;
  • Updating mailboxes as needed;
  • Overseeing and directing deliveries;
  • Preparation of internal and external documents as needed;
  • Compiling data and preparing reports as requested;
  • Ensuring front desk is stocked with necessary forms and supplies to perform daily front desk functions;
  • Ensuring the reception area is neat at all times;
  • Performs various clerical duties such as typing and filing; and
  • All other administrative tasks and projects as assigned.

REQUIREMENTS: Include, but are not limited to:

  • Minimum of 1 year of prior receptionist experience in an office setting;
  • Bi-lingual preferred but not required;
  • Exceptional interpersonal skills;
  • Friendly and professional demeanor;
  • Ability to perform the above duties with a high degree of professionalism and accuracy;
  • Ability to familiarize yourself with the members of the Office and their respective roles as well as the professional status of those who call the Office frequently;
  • Ability to ascertain the reason for the person's call or visit and to direct them to the appropriate staff member;
  • Ability to maintain highest level of confidentiality;
  • Strong Microsoft Office skills (especially Word, Outlook & Excel) and the ability to become familiar with Office specific software programs and databases;
  • Strong multi-tasking abilities;
  • Ability to work independently and be self motivating;
  • Valid New Jersey State Driver’s License;
  • NJ Residency required.

*All applicants must undergo to a criminal background investigation and medical exam.

Job Type: Full-time

Pay: $40,647.00 per year
