About the Role

The Administrative Assistant plays a key role in supporting the I WILL GRADUATE Youth Development Program by ensuring smooth daily office operations, professional communication, and efficient administrative processes. This position is ideal for a recent graduate who thrives in a fast-paced environment and enjoys providing high-level support to staff, managers, and clients. The role also includes support with social media content creation to help strengthen program visibility.

What You’ll Do

  • Support the planning and execution of events, workshops, and special projects.
  • Schedule and coordinate meetings, appointments, and maintain calendars.
  • Perform general administrative tasks including filing, organizing documents, inventory management, and report preparation.
  • Draft, edit, and proofread emails, letters, and other professional documents.
  • Use Microsoft Office and Google Suite to create presentations, reports, spreadsheets, and forms.
  • Transcribe meeting minutes and assist with documentation needs.
  • Provide excellent customer service to staff, students, partners, and visitors.
  • Assist with basic social media content creation (posts, captions, simple graphics).
  • Take initiative as a self-starter by anticipating needs and offering timely solutions.
  • Perform other administrative tasks as needed to support organizational goals.

What You Bring

  • Bachelor’s Degree in Administration or Management preferred.
  • At least 1–2 years of administrative or office experience (including internship experience)
  • Experience with social media content creation (basic posting, captions, Canva preferred).
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Forms).
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities; able to manage multiple tasks at once.
  • High attention to detail and accuracy.
  • Strong problem-solving skills and adaptability in a dynamic, fast-paced environment.
  • Friendly, professional, customer-service–oriented demeanor.
  • Ability to work independently with confidentiality, discretion, and initiative.
  • Bilingual (Spanish/English) a plus.

Additional Hiring Requirement

As part of the hiring process, final candidates are required to complete a 1–3 day in-person evaluation period, during which they will work onsite and complete assigned administrative tasks. Compensation for the evaluation period will be provided at the equivalent hourly rate.
