Administrative Assistant

Work Schedule
Report to Office, Monday through Friday, 9:00 a.m. – 3:00 p.m.

Position Summary

The Office Assistant provides front-office and administrative support to ensure smooth daily operations. This role serves as the first point of contact for visitors and callers and supports internal staff through a variety of clerical and organizational duties.

Key Responsibilities

  • Answer and manage a multi-line telephone system, directing calls appropriately and providing accurate information when needed.
  • Greet visitors in a professional and courteous manner; determine the nature of their visit and direct or escort them to the appropriate destination.
  • Prepare and transmit information and documents to customers via phone, email, mail, or fax.
  • Perform general office duties, including filing, mailing, and maintaining office equipment such as printers, copiers, and fax machines.
  • Provide administrative support such as proofreading documents, transcribing handwritten information, and assisting with other clerical tasks as needed.
  • Maintain the appearance of the lobby and reception area, including light upkeep such as watering plants and organizing magazines.
  • Analyze information to respond to routine inquiries from customers or members of the public.
  • Maintain accurate records of employee time-off requests and call-out occurrences.
  • Enter, update, and maintain databases containing contact information, including names, addresses, and phone numbers.
  • Support ad hoc projects and additional tasks as assigned by management.

Job Requirements

  • Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, and Teams.
  • Working knowledge of Microsoft Windows operating systems.
  • Strong written and verbal communication skills with a professional, friendly demeanor.
  • High level of accuracy and attention to detail.

Job Type: Part-time

Pay: From $20.00 per hour
